We are currently seeking an Administrative Assistant (Secretary 1) for our valued customer. The Administrative Assistant will provide administrative and fiscal support for the Regional Office, at the direction of the COR in consultation with the contract Project Manager. This support includes providing effective and efficient assistance to handle public and grantee inquiries and administrative support to federal staff.
Responsibilities:
- Support the development of reports, correspondence, and presentations including spreadsheets, word documents, and PowerPoint presentations. Reports may be recurring of special in nature and can contain both technical and administrative information
- Assist with coordination, planning and logistics for regional meetings, trainings, or events, as requested by the COR.
- Perform document integration and editing as directed by the COR
- Collate and develop material for staff presentations or in anticipation of staff’s need
- Process auditor’s requests and delinquent audit letters
- Provide fiscal support to the grants management team
- Maintain fiscal documents for the OHS/ACF Region
- Maintain shared calendar and keep track of training schedules and appointments
- Assist with special projects as necessary including PowerPoints, pulling data from databases, and creating charts and tables
- Arranges conference calls, video conferences or data conferences occasionally involving a regional and/or national audience
- Supports with travel documentation and procedures (itineraries, accommodations)
- Reviews and sorts paper-based and electronic mail; identifies action required and takes action where appropriate. Maintains email distribution lists
- Assist with special projects and tasks at the request of the COR and/or project manager
Qualifications
- Associate degree in business, public administration, education or related field, master’s degree highly preferred, from an accredited university or college. Bachelor’s degree, preferred from an accredited university or college, in a field related is highly preferred or equivalent experience. Candidates resume packages should demonstrate:
- At least 2 years of relevant professional experience directly related to the task activities.
- Demonstrated proficiency in utilizing a variety of data management software packages.
- Smartsheet experience highly desirable.
- Demonstrated ability to aggregate, analyze and present data gathered from multiple sources.
- Advice understanding and demonstrated ability to develop reports, correspondence, and presentations to include Excel spreadsheets, MS Word documents, and Power Point presentations
- Demonstrated ability in record keeping, reporting, monitoring, and followup through various tracking systems.
- Demonstrated ability to communicate clearly, both orally and in writing, and produce high quality written products such as memoranda, presentations, and correspondence.
- Experience scheduling appointments, arranging meetings and securing meeting rooms and coordinating assignments.
- Excellent attention to detail

- Experience with travel planning and approval procedures
- Ability to work under and meet tight timelines
- Excellent verbal and written communication skills
- Previous government agency experience highly desired
- Must be able to obtain a public trust clearance which takes 6-10 weeks
Compensation Range: The salary range provided is determined by market value, internal equity, and the candidate's experience and qualifications. Offers will be extended within this range, though not all candidates will receive an offer at the upper limit.
