Individual positions may not include all of the examples listed, nor does the list include all of the work that may be assigned to positions in this job class. • Oversees reserve funds, prepares budget transfers and reconciles accounts. • Monitors budget transfer activity through the year to ensure that proper documentation is supplied and that transactions are properly authorized. • Develops queries to provide information on budget transfers, budget balances, missing fields, and position budget data. Acts as a liaison with university departments and provides budgetary consultation as appropriate. Prepares regular and ad hoc reports to support budget planning, salary rate analysis and/or revenue projections. The budget specialist will monitor the program budget focusing on detailed estimates for all the project costs adding up the cost estimates into a budget plan, making payments, invoicing, and timely follow-up focused on completion of tasks. The budget specialist will track the project according to the budget while the work is ongoing. The duties of the budget specialist also include:
Monitors costs of project activities to ensure that transactions are properly allocated and expensed.
Assist with budget modifications, transfers and revisions.
Track expenditures from request through payment and maintain a shadow system for the project.
Reconcile purchase card statements and prepare logs.
Serve as the budget liaison with various offices to ensure processing of requests and payments.
Ensures payment of external contractors.
Minimum Qualifications
Education
Bachelor’s degree required.
Experience
Three (3) years or commensurate experience required working on large government grants.
Demonstrated ability to use PeopleSoft, Oracle, Microsoft WORD, and Excel. Also, experience using another financial management system such as cloud-based software.
Knowledge Skills and Abilities
Strong professional, communication, interpersonal, and human relations skills
Ability to communicate effectively both in writing and orally with faculty and staff.
