Transportation Specialist 

 

Department:  Transportation / Warehouse

Reports to: Department Manager

Location: Buffalo

Full-Time: Monday – Friday

Pay Schedule: Weekly Pay 

Non-Exempt: Compensation starts at $39,520- $43,680 yearly depending on experience

Benefits: Begin the first day after the first two full months of employment

Position Summary

The Transportation Specialist is responsible for the efficient and timely delivery of mail and packages to clients and customers. This role involves coordinating transportation schedules, ensuring compliance with safety regulations, and maintaining accurate delivery records. The specialist will also be responsible for vehicle maintenance and handling any logistical challenges that may arise during delivery routes.

Essential Duties

The essential functions include, but are not limited to, the following:

 

Mail and Package Delivery

 

  • Deliver mail and packages to specified locations in a timely and efficient manner.
  • Verify delivery information and ensure accurate and complete deliveries.
  • Obtain signatures and delivery confirmations as required.

 

Route Planning and Scheduling

 

  • Plan and optimize delivery routes to maximize efficiency and minimize delays.
  • Coordinate with the Transportation Manager to adjust schedules and routes as necessary.
  • Monitor traffic and weather conditions to anticipate potential delays and adjust plans accordingly.

 

Vehicle Maintenance and Safety

 

  • Conduct regular inspections of delivery vehicles to ensure they are in good working condition.
  • Report any vehicle issues or needed repairs to the Transportation Manager.
  • Adhere to all safety protocols and regulations while operating delivery vehicles.

 

Record Keeping and Reporting

 

  • Maintain accurate records of deliveries, including time of delivery, recipient information, and any issues encountered.
  • Prepare and submit daily delivery reports to the Transportation Manager.
  • Handle any customer inquiries or complaints related to deliveries professionally and promptly.

 

Compliance and Regulations:

 

  • Ensure compliance with all relevant transportation and postal regulations.
  • Stay updated on changes to postal regulations and company policies.

Additional Responsibilities

  • Employees may be required to perform duties outside their primary responsibilities or assigned department, as reasonably requested by management. These duties may occasionally occur outside of regular working hours, provided they align with applicable labor laws and are compensated fairly and appropriately, reflecting the value of your contribution to the organization.

On-Call Requirements

  • If you are called in to work outside your regular schedule, you are expected to work at least four hours unless otherwise directed by management.

 

Minimum Qualifications

  • High school diploma or equivalent.
  • Previous experience in mail delivery or a related field is preferred.
  • Experience in route planning and logistics is a plus.
  • Strong organizational and time management skills.
  • Excellent communication and customer service skills.
  • Ability to navigate and use GPS and other route planning tools.
  • Basic mechanical skills for vehicle maintenance.
  • Valid NYS driver’s license with a clean driving record.
  • Any relevant postal or delivery certifications are a plus.

May contribute to business and operational decisions that affect the department. Decisions that address non-routine questions and situations often require investigation and research of precedents. Uses patterns, trends, and precedents to analyze situations and determine an appropriate course of action or approach to solving problems. 

 

Independence of Action

Work progress is monitored by the supervisor/manager. The incumbent follows precedents and procedures, may set priorities, and organizes work within general guidelines established by the supervisor/manager.  

 

People Management

Not responsible for supervising others.  

 

Physical Demands and Work Environment 

 

The physical demands described here represent those that an employee must meet to perform the essential functions of this position successfully. 

  • Ability to drive for extended periods.
  • Primarily works outside, with frequent exposure to varying weather conditions.
  • Good physical stamina and ability to work in various weather conditions.
  • Work is performed in a warehouse or production facility environment.
  • May be exposed to varying temperatures, noise, and dust.
  • Must be able to lift 50 pounds, push 800 pounds on a load-bearing cart, carry 25 pounds, and pull 200 pounds.
  • Must be able to use hand tools, pallet jacks, and forklifts.
  • It requires frequent standing, walking, crouching, bending, kneeling, lifting, and using repetitive motions of hands or wrists; finger, grasp, handle, or feel; reach with arms and hands for extended periods.
