Job Opportunity: Materials Coordinator

Reports to: Supply Chain Manager

Job Location: Williamsport, PA


The Materials/Procurement Coordinator provides clerical and administrative support to the procurement team to ensure timely and accurate purchasing and inventory control within an electronics manufacturing environment. This role assists buyers with data entry, order tracking, expediting, and maintaining documentation to help ensure a smooth flow of materials through the supply chain.

Key Responsibilities:
• Create and maintain purchase orders (POs) in ERP/MRP systems (Macola).
• Monitor and track PO acknowledgments, shipment confirmations, and delivery schedules.
• Communicate with suppliers to expedite orders and resolve shipment issues.
• Maintain accurate procurement and inventory records, including item master data and supplier information.
• Assist with invoice matching and resolving discrepancies with accounting.
• Support the buyers with quote requests, supplier follow-up, and sourcing documentation.
• Generate reports on open POs, inventory levels, and supplier performance metrics.
• Coordinate with receiving and production departments to ensure timely material availability.
• File and organize procurement documents, certifications, and correspondence.

Requirements:

Basic Qualifications:

  • High school diploma or equivalent.
  • 2+ years of experience in an administrative, clerical, or materials coordination role.
  • Proficient in Microsoft Office (especially Excel and Outlook).
  • Experience with ERP/MRP systems in a manufacturing environment.

Preferred Qualifications:

  • Associate's or Bachelor's degree in Business, Supply Chain, or related field.
  • Experience in the electronics manufacturing or contract manufacturing industry.
  • Familiarity with ISO 9001, AS9100, or similar quality management standards. • Working knowledge of supply chain terminology (lead times, MOQ, BOM, etc.).

Key Performance Indicators (KPIs):

1. PO Accuracy Rate – Percentage of purchase orders entered correctly without requiring rework.

2. PO Acknowledgement Turnaround Time – Time from PO issuance to supplier confirmation.

3. On-Time Material Availability – Percentage of materials available by the required date.

4. Document Processing Time – Average time taken to process and file procurement-related documents.
