SUMMARY: 
The Chief of Staff supports the CEO and EXCOM by consolidating, challenging, advancing, tracking, and communicating high profile company plans and operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Member of the Executive Committee
  • Identifies and provides recommendations on new opportunities, initiatives, and improvements across the business.
  • Acts as a sounding board and valued perspective to EXCOM team on key decisions
  • Provides insight and analysis to yield better decision making on critical ad-hoc topics and major department programs
  • Identifies and helps resolve issues with internal company processes to keep the organization lean and responsive.
  • Orchestrates/MC’s all EXCOM meetings including BRMs and Townhall meetings
  • Strategy and market awareness - directs a team which:
  • Maintains perpetual awareness and documentation on competitive, technological, and regulatory shifts in the industry and their impact on DHLeC
  • Consolidates research on changes in customer makeup, needs, and behavior with respect to DHLeC
  • Exposes the brutal truths of DHLeC’s current offering in the market
  • Leverages the above with EXCOM to maintain a central picture on the company strategy (target market, product positioning, and competitive differentiation)
  • Program coordination - directs a team which:
  • Maintain central visibility to top company initiatives and expected impact
  • Establish regular EXCOM alignment & prioritization (active/prioritized/deprioritized), and creates visibility for all functional teams 
  • Set, maintain, and enforce standards for managing projects, ensuring consistency across all projects by providing guidelines, processes, support, and accountability
  • Project managers drive individual initiatives, keeping a pace for the organization’s experts to deliver workstreams according to project plans, and ensuring experts’ time is used efficiently
  • Project managers quickly remove barriers to successful completion – including escalation through EXCOM project sponsor/owner as needed
  • Work with project owners to monitor and communicate progress against their stated goals in a standardized way across all initiatives
  • Chief of Staff personally manages critical programs which have a significant impact in the organization
  • Communication - directs a team which:
  • Supports CEO & EXCOM to reach and inspire the organization nationwide with content that matters
  • Supports CEO & EXCOM to make simple and convincing upward communications (recurring updates, formal country business review presentations, ad-hoc Bonn inquiries, etc.) 
  • Improves the efficiency of EXCOM & below as a team: using assertiveness, creativity, planning, and organization skills to maximize necessary communication flow on valuable topics, in the minimal amount of net time, and eliminate distractions. 
  • Administration - directs a team which:
  • Supports EXCOM and other GMB members with travel (as needed) and meeting arrangements 
  • First point of contact for EA requests from Bonn or other Business Units

SKILLS REQUIREMENT:

  • Assertive Mindset: Forms own opinions based on facts.  Communicates those respectfully, and is willing to change his/her opinion based on new information as it arises.
  • Communication:  First-class visual, written, and verbal communication/persuasion skills are central to success.  Able to connect and empathize with all different levels of the organization(from Bonn corporate board to front-line-supervisor) to appreciate what is important each person in the company to see/hear – and craft comms activity to match.
  • Leadership: Has own view of the performance of the team and business, and makes his/her point naturally and convincingly based on facts and data.  Can lead an own multi-departmental team effectively to meet the objectives of the full Staff role.
  • Time management: Able to prioritize own work, and comfortable respectfully saying “no”.  Also able to drive improvement in the efficiency and time management of a senior team.
  • Organization: Maintains meticulous tracking and communication on both prioritized and deprioritized programs and their results.  Things don’t fall through the cracks.
  • Problem-solving: Able to break down complex problems into their core components, structuring difficult issues into manageable blocks to be solved.  Highly analytical and structured in approach to research and data synthesis.
  • Big picture thinker: Tends to look at issues in the context of the broader business environment and company purpose – sometimes recommending short term sacrifices for the benefit of long term strategy.

EDUCATION AND EXPERIENCE REQUIREMENTS:
 

  • Bachelor’s degree in Engineering, Logistics, Management or related field required
  • 10 years of related experience 
  • Logistics experience required/preferred

PHYSICAL DEMANDS:

  • Physical demands are consistent with a professional office setting.
  • Regular sitting at work station for 25 – 75% of the work shift.
  • Flexible hours (including nights and weekends).
  • Frequent standing and walking.
