The Executive Support Specialist provides high-level administrative and operational support to the President/CEO and senior leadership team. This role performs diverse administrative and project-focused duties requiring discretion, judgment, and a high level of confidentiality. The Executive Support Specialist also serves as a liaison across departments to foster a strong organizational culture focused on accountability, collaboration, communication, and operational discipline. In addition to executive support, this role ensures smooth day-to-day office operations, facility management, supply procurement, and event coordination.
Key Responsibilities:
- Provide comprehensive administrative support to the President/CEO and senior leadership team, ensuring seamless daily operations and prioritization of tasks.
- Manage and maintain the company-wide Smartsheet action tracking system, ensuring timely updates, prioritization of deliverables, and follow-up with responsible parties.
- Support the President/CEO’s engagement with the senior leadership team, including preparation for quarterly board meetings and gathering and formatting content to meet executive standards.
- Coordinate and arrange complex and detailed travel plans for staff and clients, including international travel logistics, and maintain relationships with preferred vendors and hotels.
- Plan and execute corporate events, including ERC conferences, Atlas conventions, forums, and in-office celebrations and gatherings.
- Act as a liaison across the organization to foster a positive and accountable team culture, promoting collaboration, communication, and operational excellence.
- Maintain a professional, safe, and organized office environment by overseeing facilities management, ensuring compliance with HR and safety standards, and coordinating maintenance and service providers.
- Manage daily office operations, including procurement, stocking, and tracking of office supplies, food, and kitchen items, ensuring cost efficiency and operational readiness.
- Schedule meetings, transportation services, restaurant reservations, and event logistics for executives and staff as needed.
- Manage timecard approvals and assist staff with issues.
- Track issuance/return of employees with equipment and work with IT to maintain the status of equipment.
- Assist with on-and-off-boarding of employees including sending welcome boxes, organizing photos, reviewing Smartsheet processes, etc.
- Support administrative needs for the VP, Corporate Services, including tracking and maintaining licenses, leases, and contracts.
- Maintain and update company organizational charts
- Assist the Marketing department with administrative support, including packaging, shipping, promotional inventory management, and client gifting coordination.
- Coordinate and issue office access key cards; manage outgoing mail, shipping, and deliveries via USPS, FedEx, and other providers.
- Prepare and submit monthly expense reports for the President/CEO with accuracy and timeliness.
- Transcribe, format, edit, and produce professional documents, presentations, and reports for internal and external distribution.

QualificationsWhat You'll Need:
Education and Experience:
- Bachelor’s degree in Business Administration or related field required.
- 5+ years of executive administrative experience supporting senior leadership.
- Strong business acumen and professional communication skills.
- Exceptional organizational, project management, and time-management abilities.
- Detail-oriented with the ability to understand and support broader organizational goals.
- Flexible, adaptable, and resourceful in a fast-paced, evolving environment.
- Proven ability to solve problems independently and manage multiple projects simultaneously.
- Ability to maintain strict confidentiality with sensitive information.
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Team-oriented with a proactive approach to supporting company growth and culture initiatives.
