TheVendor Inspection Coordinator position is a critical component of the inspection process, coordinating inspection schedules with supplier/client notifications, approvals, and entering data into our our system that tracks our vendor surveillance services (VSS) program. The position provides support to the client for scheduling Third Party Inspection Services and communication to the Third-Party Inspectors along with heavy data entry.
Responsibilities
Coordinate inspection based on supplier’s schedule working with the client to determine the skillset and experience needed for the inspection; schedule the 3rd party inspector with the proper information as needed to be able to complete the inspection. Update our system so the schedule is accurate and able to be reviewed by department management.
Compile detailed inspection definition packages for and send them to 3rd party inspectors.
Enter data from inspectors into our thirty party database that tracks VSS services, inspections, and assignments.
Follow all company and client procedures and guidelines in assigning suitable 3rd party inspectors for each assignment, ensuring all required paperwork is passed to the 3rd party inspectors and fully managing each assignment until completion.
Verify and manage inspections are on schedule, manage delays, coordinate any questions that may arise between inspections.
Review assignment packages from clients for quality and compliance.
Responsible for a 24-48 hour turn-around time to clients as per Aegeus’s policies, practices and procedures.
Maintain contact with client base on upcoming work or expansion of work based on client needs to drive positive client relationships and revenue growth.
Follow up with inspectors on outstanding reports and deliverables.
Maintain large 3rd party inspector network with a variety of skillsets to be able to use as client needs and demands change.
Onboard new 3rd party inspectors, validating experience and skillset capability to be used for future inspections; follow company policy on new vendor onboarding.
Facilitate resolution of issues (technical, etc.) with Supplier, Client, and Technical Manager to accept or reject Non-Conformance and notify Supplier/Client.
Assist with client billing invoices as needed.
Attend project and client meetings as necessary.
Perform all other duties as assigned.
Qualifications
Experience with VSS and/or project coordination highly preferred.
5+ years of office administration and heavy data entry required.
High school diploma required.
