Shift
30 to 40 hours per week; flexible schedule within mostly business hours (Monday – Friday 8:00am – 5:00pm) with some evening or weekends on an as needed basis.
Job Summary
The College of Social Work (CoSW) is seeking a STEPS Meeting and Events Assistant to assist in event coordination and planning, virtual event facilitation and administrative support.
Responsibilities include the following:
- Identify and reserve meeting space for various events
- Order and facilitate event catering
- Manage internal meeting room reservation system
- provide on-site support for in-person events which includes setting up, troubleshooting, managing registration, acting as a liaison with external vendors and communicating with event guests.
- Virtual meeting planning and facilitation
- Manage event registration and disseminate required materials ahead of time such as zoom links and other training materials
- Facilitate pre-recorded virtual training events and host virtual rehearsals with speakers to ensure comfortability using virtual platforms
- During virtual events, act as event facilitator to assist with any technical support needed. This includes helping participants getting connected, monitoring the chat box, facilitating and creating breakout rooms, launching polls, playing videos and troubleshooting technical issues that may arise
- Upon the completion of live virtual events, collecting necessary reports to reflect attendance, registration, and participation
- Provide internal program and logistic support as necessary
