Position Summary
Join our dynamic team as an HR Operations Specialist. Reporting to the Regional Head of People Operations, you will play a crucial role in providing data-driven support to our North American (NAM) organization. This role involves both independent work and collaboration with a high-performing team to support the entire employee lifecycle from onboarding to offboarding. This position is based in our Andover office, with a hybrid schedule of three days per week on-site.
Job Responsibilities
This position is responsible for, but not limited to, the following:
- Employee Support: Serve as the first point of contact for employees at all levels, aiding both in-person and virtually via email and other electronic communications.
- Inbound Communication: Proactively manage the HR shared email inbox, ensuring all inquiries are addressed within 24 hours and escalating, as necessary.
- File Maintenance: Conduct routine audits and maintain accurate employee personnel files.
- Resource Management: Keep employee-facing forms and guides up-to-date and easily accessible.
- Onboarding: Execute full cycle onboarding activities, including distributing new hire paperwork, initiating background checks, and ensuring all requirements are met before starting dates.
- Data Entry: Manage data entry throughout the employee lifecycle in the HRIS system, ensuring data integrity through routine audits.
- Process Improvement: Implement local and global initiatives to enhance HR Shared Services processes.
- Offboarding: Handle full cycle offboarding, including data entry and processing offboarding materials.
- Continuous Improvement: Assess and improve processes independently, collaborating with the HR team to recommend innovative approaches and policies.
- Policy Development: Contribute to the development and implementation of company policies, ensuring compliance with local language requirements.
- Regulatory Compliance: Stay informed about changes in state regulations and ensure adherence to legal requirements.
Minimum Qualifications
- High School diploma or GED equivalent
- 2+ years of HR administrative experience in a fast-paced environment
- Demonstrable experience & proficiency with HRIS systems, including reporting, data entry, and auditing
- High level of proficiency using Microsoft Office Suite (Excel, Word, PowerPoint)
- Proficiency in MS Excel, including pivot tables and complex formulas
Preferred Qualifications
- Bachelor’s Degree or equivalent
- Previous experience working in a global, matrixed environment
- Strong work ethic, sound judgment, detail-oriented, analytical, and organized
- Ability to multitask efficiently in a fast-paced environment
- Experience with SAP system, specifically Success Factors and HR modules
