Description

Leidos is seeking a full-time, experienced Word Processor/Electronic Publisher to support environmental projects and ensure quality in client deliverables.
The successful candidate will join a team of scientists supporting Federal, State, and commercial customers in environmental investigation, cleanup, and stewardship of properties (e.g., current and former military bases, government agency facilities) and other environmental missions (e.g., per- and polyfluoroalkyl substances [PFAS] investigation, radiological assessment, asbestos and lead-based paint abatement, and dune erosion evaluation).

Location: Office space and some training is available in the Earth City, MO, area. The candidate will support project managers in other Leidos locations (primarily working in the eastern standard time zone) and will have the flexibility to work from a home office.

Word Processor/Electronic Publisher responsibilities:
•    Become familiar with document production processes including subject matter expert author drafting, technical review/resolution, technical editing, word processing, corrections and finalization of deliverables following final management review, revision archival, and subsequent review and word processing of document revisions for delivery.
•    Support production of complex documents varying in length from a few pages to more than 1,000 pages, including covers; table of contents lists; lists of acronyms/abbreviations; unit abbreviation lists; text pages including styled multilevel numbered headings and tables; reference sections; figures; and appendices/attachments with cover sheets.
•    Using Microsoft Word, enter comments, corrections, and revisions; insert figures and tables from other file formats; create/update/apply Word styles to text elements; adjust spacing and formatting; format elements including fonts, headings, paragraphs, and tables; troubleshoot formatting and style glitches; generate/format/update hyperlinked table of contents lists; create/update footer and header information, inclusive of differing page sizes and layouts within the same document; and standardize headings, margins, and indentations according to manager/client style guidance/preferences.
•    Using Microsoft Word, format files and produce draft, revised, and final documentation suitable for publication. Ensure documents are formatted for hardcopy reproduction and coordinate with reproduction support staff when hardcopies/disks are needed.
•    Using Microsoft Excel, format multiple tabs to appear as 8.5 x 11 or 11 x 17 document pages with headers, footers, table titles, table column headings (including merged cells and rotated text), table body, and footnotes. Format repeating rows and/or columns for multipage tables. Depending on document specifications, ensure page content appears at 100 percent size or is formatted to fit on one page. Take care not to modify existing formulas in Excel files.
•    Using Adobe Acrobat, edit files (e.g., add headers/footers or figure numbers/titles), work with layers, redact content, rotate pages, and modify odd-sized pages to be standard page sizes.
•    Using Adobe Acrobat, generate PDF files from Microsoft Word and Excel documents, create bookmarks, add watermarks, set page display settings, and combine multiple PDFs into one compiled document PDF. When necessary, create PDF portfolios.
•    Run 508-compliance checks in Adobe Acrobat, generate a compliance check report, troubleshoot compliance errors, and document direction/approval regarding compliance issues if needed for deliverables.
•    Troubleshoot problems with hardware, issues with software (e.g., updates changing functions or tool locations), file errors, formatting glitches, etc., as needed to perform work. Consult colleagues in case a team member may have already dealt with a common problem. Contact IT if additional support is needed.
•    Learn and apply applicable style guides and project preferences for managers/clients, often working with different style guides/preferences for individual documents simultaneously.
•    Maintain all aspects of the production process for each document: receive and adhere to schedule and budget allotment, simultaneously support multiple projects with overlapping schedules, receive document files/pieces (e.g., tables, figures, appendices/attachments) and follow up regarding outstanding content or file concerns, format or coordinate formatting of all document files, coordinate review cycles with authors/managers/technical editors, review the final product, and prepare a PDF for both hardcopy production and electronic delivery.
•    Identify formatting inconsistencies: font sizes, table borders, table footnote spacing and organization, spacing between paragraphs, broken line/page breaks, and table/figure layouts (within Word/Excel files and PDFs).
•    Help create templates for future reports and provide suggestions for best practices.
•    Work midstream on a report not yet ready for technical editing/word processing by copying a large quantity of Excel tables into Word files and performing preliminary formatting/cleanup of the files.
•    Identify potential issues with including supplied file content in a document (e.g., inability to compile a protected PDF), express concerns, propose solutions, and devote extra time to performing unanticipated formatting/cleanup of files.
•    Maintain document control and storage and adhere to company-established electronic document archiving systems.

Qualifications:
•    BA Degree with 2+ years of experience supporting document (or report deliverable) development.
•    Advanced knowledge of Microsoft Word with the ability to use intermediate and advanced program features. Expertise with tracking changes and commenting functions in Microsoft Word.
•    Basic familiarity with Microsoft Excel.
•    Strong working knowledge of Adobe Acrobat, including the ability to generate and manually insert bookmarks, combine multiple PDFs into one PDF, create PDF portfolios, and work with forms and digitally signed PDFs.
•    Adeptness navigating a fast-paced environment and juggling multiple tasks simultaneously.
•    Strong ability to work closely with project managers, subject matter expert authors, technical editors, and other word processors, as well as ability to work independently.
•    Capacity to work collaboratively with a team, communicate frequently, be attentive to details, ask questions, delegate tasks, and manage time efficiently.
•    Personal responsibility to support workflow management, including communicating with colleagues to ensure file version control and prompting colleagues to supply the files/information necessary to keep a document on schedule throughout the production process.
•    Commitment to frequent communication with a counterpart technical editor to ensure document consistency and schedule support.
•    Proactive compulsion to alert the technical editor to edit content identified while word processing appendix/attachment files expected to be PDFs with content that could not be modified.
•    Dedication to maintaining a record of accomplished work and appropriately filing document archives when completed.
•    Confidence with virtual communication tools such as Outlook, Teams and, on occasion, SharePoint sites.
Preferred Qualifications:
•    English degree.
•    Previous experience in a deadline-driven environment.
•    Availability to adjust workday/personal schedule, work when needed to meet deadlines.
•    Willingness to align work schedule to the time zone of colleagues, project managers, and clients supported.
•    Advanced proficiency with Microsoft Word, Excel, and PowerPoint and with Adobe Acrobat.
