JOB DESCRIPTION


RESPONSIBILITIES

This position is primarily responsible for providing HR Compliance services, in accordance with Service Level Agreements, to HR Shared Services, employees, managers and Human Resources. Analyze each task assigned and identify areas for standardization and process improvement and opportunities for training. Complete compliance related duties in accordance with company policy or laws. Collaborate with COEs to direct compliance issues to appropriate channels for investigation and resolution. We are looking for a year-round co-op and the selected candidate must be available to work for 24-28 hours per week during the summer and following semesters both in office and remotely.

Job duties include contact with other employees and access confidential and proprietary information and/or other items of value, and such access may be supervised or unsupervised. The Company therefore has determined that a review of criminal history is necessary to protect the business and its operations and reputation and is necessary to protect the safety of the Company’s staff, employees, and business relationships.

CORE RESPONSIBILITIES AND TASKS

Compliance Administration

  • Analyze tasks assigned, redefine as needed and document each in an SOP. Update SOPs as processes change.
  • Actively audit and monitor data in HRSS systems to ensure integrity relative to all areas supported
  • Work with internal SW teams to ensure system feeds and requirements are accurate and compliant
  • Work with appropriate HR Shared Services teams to make updates or corrections as needed
  • Assist with the completion of all state and local compliance initiatives related to HR Shared Services responsibilities as needed
  • Complete ad hoc requests for other compliance related audits and support as needed
  • Assist with other Shared Services and Compliance initiatives as requested

Employee Authorization

  • Responsible for supporting the employment eligibility verification process following federal guidelines and regulations, including processing non-US Citizen I-9s into HRSS systems
  • Process and audit I-9s into HR Shared Services systems during acquisitions
  • Partner with Employee Relations and internal Immigration Counsel as needed in relation to complex work authorization cases and changes in federal law
  • Assist in managing all work authorization expiration leaves of absence in the HRSS system

Federal State and Local Laws

  • Identify employees impacted by changes in local, state, or federal laws and take action as appropriate
  • Assist local HR with making necessary updates in HRIS to ensure compliance with new laws
  • Partner with appropriate departments when additional steps outside of HRIS are needed

QUALIFICATIONS

POSITION REQUIREMENTS

Required:

  • Must be currently enrolled in an accredited four year college or university at the time of the internship
  • Must have sophomore, junior, or senior class standing
  • Must have a minimum GPA of 2.8

Preferred:

  • Previous I-9 experience
  • Pursuing a Bachelors or Masters Degree in HR

Basic Qualifications:

  • Must be at least 18 years of age
  • Must be legally authorized to work in country of employment without sponsorship for employment visa status now or in the future
