This position provides administrative support to the Vice President of Leasing. This position is primarily responsible for proactively initiating and owning multiple administrative duties that offer support to the Leasing Team. The position requires strong analytical skills, accuracy, organization, diligence, attention to detail, relationship building skills, verbal & written communication, judgment, and confidentiality. 

RESPONSIBILITES

General:

  • Participate in assigned meetings.
  • Interact with other departments to insure up-to-date tenant information.
  • Proactively own and manage all marketing information on an as-required basis in addition to initiating, owning and facilitating quarterly audits of all information. This includes the website, property Portal, site plans, aerials, marketing brochures, and contact information.
  • Prepare for ICSC conferences and other trade shows throughout the year.
  • Assist VP-Leasing with special projects.

Leasing Team Partnership: 

  • Salesforce Ownership – Prepare and own the information in Lease Approval Form (LAF).   Be prepared to respond to any questions from Leasing Controller, Leasing VP and Regional President regarding the final output.  
  • Initiate weekly meetings with the Leasing Team to and lead daily communication to review upcoming and ongoing deals and projects.  
  • Initiate, own and manage requests for Credit Reports and Asset Search Reports.
  • Manage incoming leasing calls.  Route and/or return calls and send marketing materials when Rep is not available.   
  • Review, understand and interpret Letters of Intent.   
  • Proactively initiate, own and manage CAD requests and Construction Estimate Requests.
  • Run, prepare, and update various reports including expense reports, rent rolls, expiration/vacancy reports, exposure reports, arrearage reports/rent history, tenant sales reports, and budget reports.
  • Prepare marketing/property books and/or digital information for assigned assets, including assistance with market research for new leases and renewals. This includes rent rolls, site plans, sales reports, SWAT Information, and NNN Information.
  • Master various software programs and Microsoft applications to research information and present deals for Real Estate Committee including Salesforce, BI, OnBase, and JD Edwards.

QUALIFICATIONS

  • Administrative experience in professional real estate setting.  
  • Familiarity with commercial leases and lease terms. 
  • Ability to organize and manage multiple projects. Strong attention to detail, time management skills and personal initiative.
  • Strong team player with excellent organizational, communication and decision-making skills. 
  • Strong computer skills (MS Word, Excel, Outlook, Power Point) including ability to perform thorough research on the Internet.
  • Ability to create, manipulate and maintain databases.
  • Ability to maintain confidential information. 
  • Ability to work well with all levels of the organization.
  • Ability to adapt quickly to new work assignments and situations.
  • Ability to operate independently with proven self-sufficiency.  
  • Familiarity with Salesforce a plus.
