Responsibilities

The Sr. Payroll Specialist ensures accurate and timely process of the company’s payroll.  This person should understand all phases of payroll processing and provide exceptional customer service for both our employees and internal business partners, while ensuring compliant payroll processing and taxation.

  • Manages time and attendance through e-Time software by providing support and assistance to employees entering their time. Generates reporting to identify and notify employees and their managers who have missing time.  Validates the accuracy and compliance of all timesheets for both exempt and non-exempt employees each pay period.
  • Processes New Hire and Active Employee Profile changes related to Payroll in CMiC including Federal /State W-4 and Direct Deposit requests.
  • Enters adjustments and transactions in CMiC to prep for the payroll each week including per diems, on-call payments, auto allowances, merit/retroactive salary adjustments and Union Rate and Worker’s Comp Rate updates.
  • Understands compliant employee wage garnishment calculations for processing through payroll.
  • Understands advanced tax compliance for withholding as well as pre/post tax deductions and employer paid benefits.
  • Processes Weekly and Bi-Weekly payrolls inclusive of our union employee population; manages the workflow utilizing the Payroll Checklist to ensure that all payroll transactions are processed accurately and timely.
  • Reconcile the payroll prior to the transmitting the Tax File to our tax filing vendor.
  • Coordinates the paper checks generated from payroll for distribution to the various offices and job sites as required.
  • After payroll has been completed, ensures that the payroll file folder is complete with all supporting documents related to the payroll for audit purposes.
  • Processes manual check requests and other ad hoc off cycle payrolls.
  • Responds to inquiries for verification of employment requests.
  • Completes Union processing.
  • Orders benefit stamps for inclusion with the payroll check/statement for applicable employees.
  • Updates First Trade spreadsheet after each payroll.
  • Works with Corporate Accounting to replenish funding our union accounts from the First Trade Account when needed.
  • Prepares monthly Union reports for MA, RI, NH and NY.


Qualifications



  • Experience: 7 years of experience processing multi-state payroll. Union payroll experience strongly preferred.
  • Education: Bachelor’s Degree or equivalent work experience preferred.
  • Additional Role Specific Skills: working knowledge or payroll best practices, strong knowledge of federal and state regulations, proficiency in Excel, working knowledge of CMiC a plus.
