DHL Legal Services offers all business partners worldwide solution-oriented legal advice. We provide comprehensive support in contracts, negotiations, and processes with customers and suppliers as well as in general litigation and commercial law matters. 

In a matrix organization, Legal Services is organized on the one hand according to regions and on the other hand according to global cross-sectional topics. 

 

Job Purpose: 

Responsible for providing support to the Benelux Legal Department in the areas of (i) corporate housekeeping and legal activities, including external legal cost management; (ii) information and (internal and external) communication management; (iii) new technologies and digital solutions.

The role will support the Benelux Legal department, with some legal activities limited to Belgium.

Your tasks:

  1. A) Legal support
  • Primary responsibility to perform the corporate housekeeping for Belgium and Luxemburg (15 legal entities) and The Netherlands; manage legal/administrative activities supervised by the Legal Dept, such as filing of official documents with commercial registry, publications, organize notarial deeds in Belgium; support project Dyson implementation in Benelux (total 37 entities, excluding NL holding entities and Monta entities);    
  • Assist with transactional legal activities (e.g. NDAs and standard contracts), legal research and legal memo’s, small litigation management; ensure compliance with various local laws and regulation (Belgium);
  • Assist with the management of external legal costs; 
  • Work with internal stakeholders and external agencies to prepare and obtain documentation required to conclude complex transactions (Belgium); 
  • Optimize the time management of the Benelux Legal team by centralizing certain automated administrative tasks, such as travel arrangements, order supplies, process external legal invoices.
 
  1. B) Information & Communication management
  • assure a smooth, timely and effective usage and management of the digital working tools of the Legal Department in the Benelux Legal team, including the new DMS, as well as of the knowledge management tools/hubs; creating, sharing and storing standard legal advices/forms/templates in order to prevent knowledge loss; increasing accuracy in data collection; managing data security and compliance within the Legal Department;
  • Manage the reporting of the Benelux Legal Dept (BU reporting, CREST/Passport alignment, external legal costs, etc.).
 
  1. C) Technology & Digitalization Management
  • improve processes/workflows/programs of admin, payment & reporting without compromising on quality;
  • provide training to the legal team members about technological and digital tools to perform their work more efficiently; support the implementation and management of the DMS in the Benelux legal team;
  • promote (internal or external) best practices to simplify data collection, streamline document management and automate manual work;
  • Be the interface with IT Dept and external experts for any need of technical support;
  • Represent the Legal Dept in the wider context of the legal community for any digital project.
 

Your profile:

  • 2–4 years of experience in a similar role.
  • Professional education in law, business administration, economics, technology, communication, or equivalent experience.
  • Good knowledge of written and spoken English and Dutch and basic knowledge of French
  • Proficiency in Microsoft Office 365.
    Advanced knowledge of digital tools or a strong passion for technology and digitalization.
  • Excellent communication, organizational, and planning skills.
  • Ability to work under pressure and manage priorities effectively.
  • Detail-oriented with a structured and proactive approach.
