Essential Functions

These are the job duties required of the position.

Essential Functions
  • Assists the Assistant Director in planning and executing alumni engagement events at the MacQueen Alumni Center and other locations as determined by the University of South Alabama National Alumni Association (USANAA) strategic plan.
  • Assists with rental sales, scheduling use of spaces, site visits and tours, facility rental contracts and financial paperwork, and coordinating layouts and room setup for meetings and events at the MacQueen Alumni Center.
  • Accepts cash, check, and credit card payments and prepares receipts.
  • Assists the Assistant Director in planning and executing alumni events both locally and in chapter cities as determined by the Association’s strategic plan, including Homecoming/Reunion Weekend and football pre-game hospitality events.
  • Develops collaborative relationships with internal and external constituents to maintain extraordinary customer service while adhering to all requisite policies and procedures for the MacQueen Alumni Center as set by the Board of Directors of the USA National Alumni Association.
  • Works with the Office of Development, Alumni Relations and Special Events to plan and execute development-related, alumni engagement events held at the MacQueen Alumni Center.
  • Maintains positive relationships and partnerships with alumni, friends, faculty/staff, businesses and other constituencies to increase rental sales at the MacQueen Alumni Center and to increase alumni engagement with the University.
  • Works with the Assistant Director to develop and execute new and innovative marketing ideas and strategies, focused on long-term growth in rental sales for the MacQueen Alumni Center.
  • Assists in planning, managing and overseeing communication efforts including social media, electronic newsletters, and direct mailings to promote MacQueen Alumni Center rentals.
  • Manages operational details at the MacQueen Alumni Center to ensure smooth execution of facility rentals once the sale of the rental has been made.
  • Works directly with facility rental clients to finalize plans for catering, entertainment and other aspects of the rental.
  • Coordinates with external vendors as necessary.
  • Serves as event supervisor/onsite host when needed.
  • Assists with maintaining event inventory and supplies in Alumni storage facilities.
  • Assists with managing and maintaining the MacQueen Alumni Center event calendar.
  • Assists with all events, programs, and initiatives on behalf of the USA National Alumni Association as part of the Alumni Relations team.
  • Interacts by phone, letter, email, or in person with students, faculty/staff, Association members, and the public and responds to member and/or community requests as needed.
  • Regular and prompt attendance.
  • Ability to work schedule as defined and additional hours as required, which may include nights and weekends
  • Some travel may be required.
  • Related duties as required.
