The Director of Business Affairs for the School of Engineering is responsible for overseeing and managing the School's budget, fiscal matters, and financial operations. This includes maintaining and reviewing state, local, and grant accounts, preparing financial reports, and advising on long-term and short-term financial strategies. The Director serves as the primary liaison between the School and the Office of the Provost, Human Resources, and University Marketing. This position also plays a key role in staff management, including support staff and student employees, and supports the creation and dissemination of promotional materials and financial content for the School. Additionaly, this role will help with event planning, training and onboarding new office personnel on an as needed basis and coordinating Coop PhD program.
Key Responsibilities:
- Financial Management: Oversee and manage the School of Engineering's budget, including state, local, and grant accounts.Provide detailed financial analysis and reporting, advising the Dean on the financial status of accounts and offering solutions as needed.Develop long-term and short-term financial goals and strategies for the School.Create budget projections, make recommendations for budgetary adjustments, and ensure alignment with the School's needs.Prepare and submit financial reports and ad-hoc information to the Office of the Provost.Utilize salary planner tools to review and adjust faculty salary increases as part of budgetary planning.
- Fiscal Oversight & Compliance: Serve as the School's liaison with the Office of the Provost on budget-related matters.Coordinate with Human Resources to ensure compliance with the University's hiring practices.Oversee the completion and accuracy of new faculty contract packets, ensuring compliance with documentation procedures, including Equal Opportunity Access & Title IX Coordinator reports.Supervise and mentor support staff responsible for fiscal duties, such as managing scholarships, promotion/tenure salary calculations, and advisor caseloads.
- Staff and Student Employee Management: Review support staff assignments, oversee operational duties, and ensure alignment with departmental goals.Hire and supervise student employees for the Dean's Office, ensuring effective management of their roles and responsibilities.
- Promotional & Visual Support: Serve as the liaison with University Marketing, coordinating and overseeing promotional efforts for the School of Engineering.Create financial and promotional presentations using a variety of software tools.Assist in the development of content for the School's publications, including the Annual Report, Dean's Report (3E), and newsletters.Manage media content received from University Marketing and other sources.Coordinate the scheduling and display of graphics and media on campus to support the School's mission and visibility.Provide support and training for the use of the School's promotional equipment.
Minimum Acceptable QualificationsMinimum Qualifications: - Bachelor's degree in business administration, management, or a field related to the position.
- Two (2) years of professional business, financial, and/or managerial work experience.
(NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.) - Minimum of 2 years of experience in: Budgeting, Financial Spreadsheets, Data Analysis and Report Generation
Preferred Qualifications:- Proficiency in Microsoft Office Suite, Familiarity with Adobe Premiere Pro, Canva, Adobe Photoshop, and Qualtrics
- Experience working in higher education
- Experience with faculty contracts
