Job Purpose:
The Procurement Associate is involved in supporting the management of national and international acquisitions and purchases, adhering to specific quality standards. They manage the search for suppliers by establishing global relationships, conduct market research to identify new suppliers or assess the commercial conditions of existing suppliers. They ensure compliance with regulations by assisting in the preparation and review of contracts signed between both parties. They coordinate with different departments to ensure that everything aligns with organizational needs and objectives.
Your tasks:
- Search for and select national or international suppliers, depending on the sourcing needs, who are reliable and meet quality requirements.
- Manage the proper completion of documents requested by DHL with the supplier to ensure their participation in the bidding process.
- Follow up with suppliers by coordinating visits, ensuring compliance with contractual terms, and identifying any issues that may arise during the bidding process.
- Support in the preparation and review of the contract is key in managing commercial agreements and formalizing the relationships between both parties.
- Identify key terms such as: Payment conditions, delivery or execution timelines, and obligations between both parties.
- Follow up to ensure that both parties uphold the fair terms.
- Conduct a thorough review of the contract to ensure that all details are correct, including the parties' information, dates, amounts, and any other important terms."
- Ensure that all necessary individuals in the contract, addendum, presentations, among others, sign the document.
- Verify that the document has no errors and that all modifications or additions are accurately reflected before sending it for signature.
- Check that all parties have access to the platform and know how to use it."
- Incorporate new items into the catalog.
- Modify or adjust rates for existing services or products.
- Remove services or products that are no longer offered or that were not continued in the contract."
- GoSource: Verify information and download documents.
- GoShield: Submit ticket requests."
- Obtain information about the user's needs, such as quantity of products, specifications, delivery timeframe, among others.
- Search for suppliers that meet the requested needs.
- Generate a comparison by creating an Excel sheet with the formal proposal that includes the details of the offer."
- Maintain documentation that is updated, accurate, and compliant with supplier regulations.
- Request crucial information from each department that is part of the update.
- Obtain approval from each area.
- Conduct follow-up on the signing of forms or documents that need to be completed.
- Gather annual documentation as a requirement for certification audits such as BACS, ISO, TAPA, etc. (RUT, chamber of commerce, financial statements, bank account, BASC certification, analysis of financial statements, annual supplier evaluation).
- Conduct site visits to suppliers in conjunction with the Security department and the area that will receive the goods or services."
Your profile:
- 1-2 year experience in purchasing assistant or relevant
- Bachelor degree in BA, Industrial Engineer or equivalent
- Experience in BSC certificaction
- English Knowledge (is a plus)
