CLASSIFICATION: Purchasing Assistant

GRADE: Exempt; Regular Full-time

LOCATION: Bldg. 955 Business Office, Eglin AFB, FL

ESSENTIAL FUNCTIONS: The Purchasing Assist reports to the Contracts & Procurement Manager and acts as a liaison between the Shipping & Receiving office and the Purchasing office to resolve order discrepancies. Incumbent must be able to use independent judgement to make decisions and must be a self-starter that is able to successfully multi-task. This position requires a high level of professionalism and strict adherence to ethical standards.

GENERAL DUTIES:

  • Experience with contract and account payable process is desired. Familiarity with Federal Acquisition Regulations (FAR) is desired.
  • Personal computer skills related to purchasing and associated software are desired; Costpoint experience is desirable.
  • Excellent organizational and communications skills are required.
  • Excellent typing and data entry skills are required. Must be able to use independent judgment to make decisions.
  • Must be a self starter that is able to multi-task.
  • Requires high level of professionalism and work ethics.
  • CAC holder would be very beneficial. Work with vendors to expedite orders for supplies/services and communicate status with requesters.
  • Keep detailed order status notes in centralized database (Cost Point) to be accessible by buyers/accounting.
  • Act as liaison between Shipping & Receiving, Accounts Payable and Purchasing to resolve order discrepancies.
  • Track purchase orders from placement through delivery.
  • Provide status reports on open purchase requests and commitments, as required.
  • Obtain new vendor account information and assist with entering/updating vendor record records.
  • Maintain vendor performance documents (discrepancy reports/performance surveys).
  • Finalize, QC and scan open purchase orders to archive files.
  • Assist in obtaining invoices and resolving AP issues to process payment to vendors.


Job Requirements:

EDUCATION/EXPERIENCE REQUIREMENTS: Associates or Bachelor's Degree in business related field is desired. Or 3-5 years’ experience in a related field. Familiarity with Federal Acquisition Regulations (FAR) is desired.

OTHER REQUIREMENTS: Supports E-OMS operational objectives. All selected candidates must undergo and successfully pass a background investigation and drug test as a condition of placement into this position. Observes company Quality, Safety, Environmental, Security and Administrative policies; supports Process Improvement. Additional duties may be assigned to support contract/mission support requirements in job-related areas.

WORK ENVIRONMENT: Work activities are normally performed in an environmentally controlled area in an office setting on Eglin AFB, FL.

PHYSICAL DEMANDS: This position will be subject to substantial movements (motions) of the wrists, hands, and/or fingers. Must be able to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; viewing a computer terminal; and requires very little lifting or moving of heavy objects or materials and require very little lifting or moving of heavy objects or materials. May require sitting for long periods of time.
