We seek to fill a full-time, permanent position in EMEA, based in London, UK.

 

Job Purpose:

 

As an Executive Assistant & Communication Manager, you will be responsible for providing comprehensive executive support to the EVP of Global Insurance and Risk Management, ensuring smooth and efficient operations.

 

You will also be responsible for managing internal communications, accurately representing Service Lines operations, achievements, and image within the organization, and aligning communication strategies with business objectives, Group guidelines, and policies.

Your tasks:

 

Executive Support:

  • Directly support EVP Global Insurance and Risk Mgt and provide ad-hoc support to team members as required
  • Manage day to day calendar(s) of senior management
  • Coordinates all aspects of executive level manager appointments, meetings, receptions, and conferences
  • Prepare and review materials and correspondence for meetings, townhalls, offsites
  • Assist with creation/modification of presentations, spreadsheets, and other various documents
  • Coordinate travel arrangements
  • Complete and submit expense reports for the executives
  • Handle confidential information with discretion and professionalism.
  • Assists in ad-hoc tasks and projects as needed
 

Communication Management:

 
  • Under general/ limited supervision, support delivery of internal communications processes and activities to communicate effectively with the organization
  • Provide timely and effective administrative support such as arranging meetings, developing agendas, etc. for communications programs
  • Perform administrative tasks such as research, data processing and validation, and documentation
  • Reconcile information for preparation of content and publishing periodicals, magazines, memoranda and leaflets
  • Generate standard content and material for internal communications such as newsletters, brochures, handbooks, etc. and manage web content
  • Administer internal communications channels and support timely distribution of material for internal communication such as newsletters, brochures, handbooks, conference and seminar materials, etc.
  • Follow and achieve compliance with established quality standards, and ensure proper usage of internal communications formats and media in line with corporate guidelines
 

Your profile:

 
  • Proven experience of at least 5 years as an Executive Assistant and Communication Manager, preferably in a global environment.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively under pressure.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, TEAMS).
  • High level of discretion and confidentiality.
  • Strong problem-solving abilities and meticulous attention to detail.
  • Experience managing and developing web content for both internal and external websites.
  • Proven experience supporting senior-level executives, preferably in the insurance industry.
  • Expertise in managing complex calendars, scheduling meetings across multiple time zones, and coordinating international travel.
  • Experience in overseeing office operations, managing supplies, coordinating with vendors, and ensuring a productive work environment.
  • Strong ability to draft professional communications and act as a gatekeeper for executives.
