Description

The purpose of your role as a Subcontract Assistant

Provide support and ensure subcontract compliance documents are received, organized, and maintained in accordance with established department process. Respond to inquiries from internal team members related to subcontractor compliance. Ensure weekly compliance holds are reviewed and removed when appropriate.

This is a part-time position, 20-30 hours per week. Role is temporary, and expected to extend through November 2025.

Administrative Support for Subcontracts team

  • Learn Harris ERP systems to update compliance status. Utilize reports and queries to assist with resolving compliance holds.
  • Review subcontractor documents to ensure all Harris requirements are met.
  • Respond to internal and external inquiries about subcontractor compliances and initiate communication to resolve noncompliant subcontracts.
  • Review weekly Accounts Payable (AP) compliance hold lists: communicate with AP, project team, and subcontractor to obtain required documents.
  • General administrative scanning and filing of mailed hardcopy subcontract files. Ensure adequate and proper documentation of subcontract compliance documents.
  • Upload the appropriate project specific compliance documents to the correct job files in CMIC for company reference.
  • Enter simple subcontracts and change orders as assigned.

Organization Administrative Support

  • Special projects assistance as requested.
  • Front desk lunch coverage.

What we're looking for in you

  • Associates degree in business administration or equivalent preferred.
  • Proficient with MS Office—including Outlook, Word, and Excel.
  • 2+ years writing business level correspondence.
  • Must be able to write clear, professional emails, and communicate effectively with field personnel, subcontractors, owners and others.
  • Ability to take direction from multiple stakeholders and prioritize requests.

Compensation

Pay Range: $18.95 - $28.43 per hour.

The actual salary offer will vary by candidate based on a wide range of factors such as specific skills, qualifications, experience.
