Description:


An ALL4 Finance Operations Specialist is an administrative support professional who performs a variety of tasks to help the organization's Accounting and Finance team run efficiently. Preference will be given to candidates physically located near an ALL4 office location.


Duties and Responsibilities

  • Manage the Certificate of Insurance (COI) process with clients, subcontractors, and vendors.
  • Manage vendor information, including setting up new vendors in the system (Deltek Vantagepoint) and completing any necessary vendor forms.
  • Enter Accounts Payable vendor invoices and establish approval and efficiencies processes.
  • Lead vendor W-9 process, including the collection of W-9s and the annual audit/reporting process.
  • Facilitate payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies.
  • Assist with the automation of processes surrounding vendor payments and client receipts.
  • Assist with project openings (including scope changes) in the system and manage client set-up (i.e., providing W-9s and banking/remittance information and completing any necessary forms).
  • Conduct system database cleanup efforts (i.e., client/vendor duplicates, classification tags, etc.).
  • Assist with the client invoicing process, including month-end invoicing and invoice uploads into client payment portal systems.
  • Support timesheet reporting process.
  • Support credit card upload process.
  • Compile and sort documents, such as invoices and checks, substantiating business transactions.
  • Support onboarding training needs.
  • Exhibit ALL4's core values in all transactions both internally and externally.
  • Perform other related duties as assigned by management.


Requirements:
  • Associate's degree in accounting, finance, or related discipline preferred.
  • Two years of accounting, finance, or related experience.
  • Experience with Deltek Vantagepoint preferred.
  • Ability to accurately and efficiently enter data into computer software and systems.
  • Commitment to excellence and high standards.
  • Excellent communication and interpersonal skills, including strong document production skills.
  • Proficiency in Microsoft Office Suite.
  • Strong organizational, problem-solving, and analytical skills.
  • Ability to meet deadlines by independently managing priorities and workflows.

Salary Range


The salary range for this role is $53,000 to $57,000 annually at the time of posting. Factors taken into consideration when determining actual compensation include, but are not limited to, education, experience, skill set, location, and business or organizational needs. In addition, this role will also be eligible for bonus pay.
