Horton, Inc. has an opening for a Adminstrative Assistant to work at our location in Britton, South Dakota. This job is onsite Monday-Friday.

 

Job Summary:

The administrative assistant is accountable for performing a variety of office / secretarial duties as well as coordination of activities and provides support to company managers.  Performs clerical / administrative work in support of company quality policy.

Responsibilities

Administrative Assistant Job Responsibilities:

1.  Answers the company telephone in a timely and professional manner and forwards calls to the correct extension or takes messages.

2.  Monitors plane schedules and arranges transportation to and from the airport.

3.  Greets visitors to the facility and monitors security by asking all visitors to sign-in and wait for an escort before entering the facility and ensures that all contractors review and sign the Horton Environmental Management System and Safety Policy.

4.  Supports management and provides for office support needs of all 3 plants

4.1  Types daily minutes, memos, letters etc. as requested by various managers; provides management with daily reports.

4.2  Receives and codes bills for administration.                                                            

4.3  Assists planning company functions such as fundraising activities and employee celebrations.

4.4  Orders lunches for meetings and guests.

4.5  Monitors requests for charitable giving and records donations.

4.6  Maintain current employee list with birthdays and prepare birthday cards for managers to sign.

4.7  Monitors requests for advertising and records expenses.

4.8  Researches and puts together parting gifts, VIP gifts and employee Christmas gifts.

4.9  Keeps Preventative Maintenance & Managers food pantry calendars and sends reminders.

5.  Monitors plant information system.

5.1  Uses company intercom system to page and make announcements.

5.2  Uses two rolling signboards to welcome guests and make announcements. Posts announcements and sends email communications.

5.3  Maintain accurate phone tree for emergency use.

5.4  Update courtyard displays of key measures graphs monthly.

5.5  Update and distribute phone lists.

5.6  Produces two monthly editions of “Table-Top Topics” for breakrooms.

6.  Orders office supplies, furniture and equipment as needed and oversees maintenance and scheduling of Horton houses and vehicles.

6.1  Monitors supply inventories and replaces as needed for office and properties (house and apartment). Works with cleaning company to replenish supplies.

6.2  Researches sources to obtain the best value and drives to local vendor sources to pick up supplies and mail-incoming and outgoing.

6.3  Monitors scheduling of company conference rooms, video equipment, vehicles and Horton houses.

6.4  Makes accommodation and travel reservations for personnel, per company guidelines for cost and accommodations.

6.5  Schedules oil changes and other maintenance on company vehicles; renews license plates and tags.

6.6  Coordinate MUDA sales; collect and record dollars for United Way.

6.7  Schedules repairs and orders toner for office printers.

7.  Maintains the document control services for Quality system.

8.  Picks up and delivers all office mail; operates postal meter; sends interoffice mail.

9.  Is responsible for routine inspections of Horton House and Horton Apartment for maintenance upgrades and general upkeep.

10.  Post-Holiday safety lessons each year.



Qualifications



Qualifications of the Administrative Assistant:

Requires a high school diploma or equivalent (GED), plus two years of closely related office administration experience.
