Company and Position Description :

Ruppert Grows, LLC is a family office that currently provides business and investment management and strategic consulting, as well as tax coordination, financial reporting and special project assistance to the Ruppert family as well as several of the Ruppert operating businesses and entities, including Ruppert Landscape, Ruppert Properties, Ruppert Nurseries and the Ruppert Family Foundation.

The Administrative Assistant of Ruppert Grows, LLC is responsible for providing organizational, transactional and communication support as well as miscellaneous task assistance. This position reports directly to the President of Ruppert Grows, but provides support to all members of the Ruppert Grows team. The ideal candidate for this job has a positive, friendly and flexible attitude, is extremely dependable, and possesses a willingness and ability to learn new skills and work on a wide range of professional and personal tasks.

Responsibilities:

  • Assist Executive Assistant/Community Engagement Leader, Director of Finance and Accounting, President, and Founder/CEO with special projects, event planning, and other general office duties including, but not limited, to the below-listed tasks:
  • Maintain and/or create organized filing systems for all physical and electronic records
  • Send and receive express packages and matching charges with invoices
  • Purchase office supplies and miscellaneous items
  • Provide all office guests with warm greeting and hospitality
  • Prepare for meetings and special events, including room and food and beverage procurement, restaurant and space reservations, etc.
  • Complete a broad range of errands for Ruppert Grows team (including lunch ordering and pick-up, returns, post office visits, etc.)
  • Schedule travel arrangements
  • Assist in creation and/or distribution of meeting materials
  • Work closely with all staff and leadership to provide strong administrative support
  • Perform basic bookkeeping, expense tracking, remote check deposit, invoice processing and related financial tasks (training can be provided for bookkeeping if needed)
  • Process and distribute all office mail on daily basis
  • Uphold highest standards of confidentiality and professionalism
  • Build strong rapport and trust with colleagues and clients
  • Other duties as assigned

Qualifications:
  • Excellent verbal and written communication skills
  • Friendly, approachable and flexible attitude
  • Excellent organizational skills and interpersonal skills
  • Ability to use PC and widely used software packages (Excel, MS Word, PowerPoint)
  • Ability to independently manage time, meet deadlines manage and accomplish work in order of priority
  • High School Diploma/GED required; college degree and/or strong bookkeeping experience are a "plus" but not required.
  • Reliable transportation and valid driver's license


Work Environment:

This position is located in a professional office setting with a small, close-knit internal team that interfaces with a number of external advisors, vendors and clients. The office is located at 23601 Laytonsville Rd., Laytonsville, MD 20882. The Ruppert Grows office shares space with the headquarters of Ruppert Landscape.

This is a full-time in-office position that may require extra hours on occasion, but the work schedule may be flexible within normal business hours and based on the specific circumstances or needs of the candidate.

Salary Range:
  • $45,000 to $60,000 per year based on candidate qualifications, base salary plus annual performance bonus.
