ABOUT THE ROLE
The Patent Administrative Secretary provides a wide range of administrative, clerical, and document services to support the workflow and client service needs of attorneys and other timekeepers. Ensures client services and satisfaction are attained in all areas of position.
Process Conflict Checks and New Business Memos for new clients and general correspondence matters.
Assist with billing process, including editing prebills, generating reports, and sending out final invoices.
Create and maintain partner docket reports and coordinate same with numerous attorneys and patent agents.
Create and prepare client requested, scheduled, or ad hoc status reports as needed.
Perform general word processing, including creating, editing and proofreading practice-specific legal documents, forms, and correspondence, ensuring accuracy and completeness.
Research using patent resources/databases (i.e. Patent Center, virtual files, docketing system, etc.) for patent-related information upon request.
Collaborate with all team members including filing specialists to provide designated and “as needed” administrative services to assist in delivering exemplary service.
Process Audit Response Requests.
Receive deliveries of documents and items such as physical mail, faxes, files, and boxes and routes them appropriately. Copy, scan, fax, and print documents and attachments as needed.
Prepare materials for mailing and overnight delivery, including printing, assembling, copying, and ensuring appropriate delivery.
Assist with organizing and maintaining physical and electronic documents and files in a timely manner. Create and maintain working files and binders as requested. Utilize Records Management to accurately store email messages and maintain and retrieve files.
Assist with the organization and preparation of materials for storage when needed.
Provide assistance for special projects under the general direction of management and other team members.
Proactively follow-up with practitioners, patent team members and management for feedback on projects completed.
ABOUT YOU
High School Diploma required.
Minimum of 3 years administrative experience.
Experience working in a professional services environment preferred. Previous law firm experience desired.
Strong attention to detail and organizational skills.
Excellent teamwork skills and commitment to delivering results by assisting co-workers.
Client service orientation and ability to communicate effectively with staff at all levels.
Ability to multi-task, prioritize work, and meet deadlines.
Ability to work under pressure and complete job assignments in an accurate and timely manner.
Proficient with Windows-based software used by the firm, including MS Word, PowerPoint, Excel, and Outlook. Working knowledge of database, and time and attendance tracking applications. Technical ability to learn the use of essential patent specific software.
Flexibility regarding work schedule and availability to work overtime required.
Ability to work effectively in a team environment.

Additional compensation may include a discretionary bonus, overtime as applicable, health/welfare benefits, retirement contributions, paid holidays, and PTO. The range displayed is specifically for positions performed in those cities/states and may vary based on factors including but not limited to the following: local market data and ranges; an applicant's skills and prior relevant experience; and certain degrees, licensing, and certifications.
San Diego salary range: $80k to $95k
