The University of Pittsburgh at Bradford is accepting applications for a numbers-savvy Academic Affairs Financial Specialist. This is an intensive but rewarding full-time, 12-month position reporting to the Vice President and Dean of Academic Affairs. You’ll be central to the operations of the university’s Academic Affairs office, working interdepartmentally to create contracts for part-time teaching faculty, track faculty workloads, track departmental spending, and create financial documents like purchase requisitions and spreadsheet reports. Additionally, you will organize our New Faculty Orientation, and our Honors Convocation and be the go-to contact for Faculty and Academic-adjacent web pages; updating information and reviewing pages for accuracy and compliance.

Salary: $38,000-$43,235/year

Duties: This largely self-supervised position provides financial, administrative, and clerical support for the Office of Academic Affairs and its members. This includes maintaining financial data, reconciliation and monitoring of departmental budgets and contracts; professionally screens walk-ins and calls; maintains general office files and supply inventory and assists with additional projects as assigned. Maintains Academics-focused web pages as the content expert on university website standards and templates.

Requirements: Associate degree plus one year of relevant administrative experience; Significant accounting, reconciliation and administrative experience may be substituted for educational requirement. Proficiency in Microsoft Office software; strong digital literacy; excellent communication and customer service skills and the desire to learn and be accurate in data entry is imperative. Self-motivation and independent working skills are very helpful, along with a friendly demeanor and sense of humor!

Essential Functions

The Financial Assistant serves as the primary contact for faculty compensation; provides essential administrative and financial support to the Dean and Associate Dean; manages financial processes related to Academic Affairs, including oversight of the Dean’s operating and discretionary budgets, monthly account reconciliations, and preparation of strategic reports; ensures timely and accurate processing of faculty contracts, overload pay, nursing faculty compensation, and supplemental payments; supports the Dean’s involvement with the Planning and Budget Committee, requiring knowledge of Pitt’s accounting policies and attention to deadlines; handles a high volume of administrative tasks, including front-line support for faculty and students, coordination of departmental events such as the annual Honors Convocation, and processing of academic documentation; and maintains professionalism, discretion, and efficiency in daily interactions with senior administrators, faculty, and students.


Physical Effort

Sedentary for many duties. Frequent standing to file and walking to deliver hand-carries around campus. Visually intensive (computer work, proofreading, filing). Infrequent lifting (bankers’ boxes of files; hand-delivery of heavy notebooks).
