Job Function:

This position provides administrative support to the Mathematics Department. The role operates under the general supervision of the Department Chair with significant independence in managing inquiries, facilitating departmental operations, and ensuring efficient communication between students, faculty, and college offices.

Key Responsibilities:

Department & Student Support

  • Acts as the primary contact, responding to inquiries from students, faculty, parents, and college departments.
  • Assesses student needs, provides guidance on advisement and registration, and resolves concerns related to academic policies.

Chair & Faculty Assistance

  • Manages the Department Chair's calendar, scheduling meetings and appointments.
  • Composes correspondence on behalf of the Chair and transmits departmental policies to faculty.
  • Maintains department files, including records of course substitutions, grade changes, faculty workload data, and employment records.
  • Assists new full-time and adjunct faculty with onboarding, system access, HR procedures, and departmental protocols.
  • Prepares department meeting agendas and arranges meeting rooms.
  • Assists with department functions, workshops, and recognition ceremonies, including securing materials and refreshments.

Budget & Purchasing

  • Processes purchase orders, oversees deliveries and installations, and manages inventory for office supplies and educational materials.

Course & Exam Administration

  • Coordinates the creation of the final exam schedule and tracks textbook orders for each academic cycle.
  • Maintains records retention for final exams, grades, and attendance for adjunct-taught courses.

Human Resources & Payroll

  • Supports the hiring processes for faculty and adjuncts, including job postings and interview scheduling.
  • Assists with HR process and payroll for Learning Center tutors and student aides.

Job Requirements:

Required Qualifications:

  • Graduation from high school or possession of an equivalency diploma.

Preferred Qualifications:

  • Bilingual and able to read, write, and speak Spanish, or other languages, proficiently


Additional Information:

Job Type: Part-time, Temporary

Hours: 15-20 hours per week

Salary: $22/hour
