Job Summary:
The Medical Supply Jr. Buyer is responsible for procuring medical supplies and equipment for the Graves Gilbert Clinic (GGC) organization. GGC buyers are to ensure purchasing best practices to include the best pricing and availability through effective negotiation and communication with approved vendors. This role involves issuing purchase orders (POs), managing quotes and requisitions for assigned departments, and addressing any issues related to backorders, discontinued, or unavailable items. The Medical Supply Jr. Buyer must excel in a fast-paced environment, demonstrating strong communication skills and a proactive approach to problem-solving utilizing approved purchasing practices.
Key Responsibilities:
Purchasing and Procurement:
Issue purchase orders (POs) for medical supplies and equipment based on properly approved quotes and requisitions from assigned departments.
Research and identify potential vendors to ensure a reliable supply chain.
May be allowed to quote new orders under a Senior Buyer’s supervision, a minimum of three (3) vendors are to be contacted to ensure proper market pricing.
Vendor Management:
Establish and maintain strong relationships with suppliers and vendors.
Daily communication with vendors is prudent to effectively address any issues related to orders, pricing, or delivery.
Provide input on vendor performance to Senior Buyers for evaluating vendor performance.
Requisition Management:
Process and review quotes and requisitions from assigned departments, ensuring accuracy and completeness before beginning the purchasing process.
Prioritize and fulfill supply requests based on departmental needs and inventory levels.
Issue Resolution:
Address and resolve issues related to backorders, discontinued, or unavailable items daily (morning).
Collaborate with departments to find suitable alternatives or solutions for unavailable items.
Keep departments informed about the status of their requisitions and any changes in supply availability daily.
Inventory and Cost Management:
Monitor inventory levels to ensure optimal stock and prevent overstocking or stock outs.
May be asked to help track procurement costs to stay within budgetary constraints and achieve cost-saving goals.
Documentation and Record Keeping:
Maintain accurate records of all quotes, requisitions, purchase orders, vendor communications, and inventory transactions.
Assist in updating procurement and inventory systems as often as necessary and verify regularly to reflect changes in supply levels and vendor information.
Communication and Coordination:
Communicate effectively with departments to understand their supply needs and address any issues. (mandatory once a week, more often as needed)
Provide timely updates to departments regarding order status, backorders, or other supply-related matters.
Qualifications:
Previous experience in procurement or purchasing preferred but not necessary.
Strong negotiation skills.
Excellent communication and interpersonal skills.
Ability to work efficiently in a fast-paced environment.
Proficiency in using Microsoft Office (Excel, Word, PowerPoint, Outlook)
Strong problem-solving skills and attention to detail.
