Learfield is seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to support three Executive Vice Presidents (EVPs) within our Sports Properties group. This individual will play a critical role in ensuring the smooth and efficient operation of their offices by managing calendars, coordinating travel, and serving as a trusted point of contact. In addition, the EA may provide limited administrative support (such as expense processing or meeting coordination) to key leaders who report into these EVPs.

Key Responsibilities:

  • Calendar & Schedule Management: Manage complex calendars for three EVPs, scheduling meetings, coordinating priorities, and ensuring efficient time management.
  • Travel Coordination: Arrange travel logistics including flights, accommodations, and itineraries for the EVPs and, as needed, for their direct reports.
  • Communication Liaison: Serve as a point of contact between the EVPs and both internal and external stakeholders. Triage messages and ensure timely responses to high-priority matters.
  • Meeting & Event Support: Prepare agendas, take notes, track action items, and coordinate logistics for key meetings, offsites, and events.
  • Document & Presentation Prep: Draft, edit, and format presentations, reports, and correspondence with attention to detail and tone.
  • Expense & Admin Support: Manage expense submissions and reimbursements for the EVPs, and provide limited assistance to their direct reports as needed.
  • Project Coordination: Support special projects or initiatives in partnership with other internal stakeholders.
  • Confidentiality: Handle sensitive information with professionalism, discretion, and integrity.

Qualifications:

  • Bachelor’s degree or equivalent work experience required.
  • Minimum of 4 years of experience as an Executive Assistant, preferably supporting multiple senior leaders.
  • Strong organizational, problem-solving, and multitasking abilities with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Highly proficient in Microsoft Office Suite, especially Outlook, Teams, PowerPoint, and Excel; experience with Concur or similar tools is a plus.
  • Demonstrated ability to work independently, anticipate needs, and proactively manage shifting priorities.
  • Positive, service-oriented attitude and a high degree of initiative.
  • Proven ability to manage confidential matters with sound judgment and discretion.
