Reports To: MARKETING AND BRAND MANAGER

Job Summary: The Samples Coordinator is responsible for managing the receipt of sample requests from external customers and internal team members, and the organization, and distribution of product samples. This role involves maintaining accurate records, ensuring timely processing of samples, and supporting quality assurance activities.  

Essential Duties and Responsibilities:

  • Receive orders directly from sales and customers.  
  • Log shipments into a database.
  • Pull product samples and literature from inventory and package for shipments.
  • Assemble professional submittal packages for shipment to clients
  • Take ownership of/manage the organization of the literature and samples room.
  • Move new literature shipments from pallet to shelving.  
  • Label and shrink wrap samples.  
  • Maintain inventory count of samples, literature, and other required supplies and inventory.
  • Restock product samples, literature, and hardware bins from samples room inventory
  • Assemble literature binders.
  • Assemble, label, and package corporate mailings and tradeshow follow-ups.
  • Restock boxes and shipping supplies.

Qualifications:

  • High school diploma or equivalent; Associates degree in a related field preferred.
  • Minimum of 1 year of experience in a similar role or in a quality assurance environment.
  • Be prepared to have daily shipping deadlines.
  • Strong organizational and record-keeping skills.
  • Proficiency in Microsoft Office Suite.
  • Good communication and teamwork skills.
  • Able to communicate verbally progress and barriers to achieving assigned tasks
  • Must be able to lift to 50 pounds.  
  • Attention to detail and ability to handle multiple tasks simultaneously.

Schedule
20-25 hours per week, between 8am and 5pm, Monday through Friday.  No weekends. Employee has the freedom to make his or her own schedule but must be present a minimum of 3 days per week; schedule should be roughly consistent from week-to-week.   Preferable if employee can start most shifts no later than 2PM to assist in getting out same day shipments.   Preferable if employee works a minimum of 3-hour shifts.
