JOB DESCRIPTION


RESPONSIBILITIES

This position is part of the Sherwin Business Services team and plays a key role in the administration of the Company’s retail and non-retail property leases. Primary responsibilities include the abstraction of the Company’s lease documents, auditing of amendments/options, and assist in training of new team members. This position has significant interaction with other functional areas, including Enterprise FP&A, Enterprise R&C, SBS GA, BPI, IT, Legal, business real estate executives, landlords, and others, and will be entrusted with high-dollar and high-volume disbursement activities.

Because this role involves access to confidential financial information, the Company has determined that a review of criminal history is necessary to protect the business and its operations and reputation and to provide similar protections for its clients and potential investments.

CORE RESPONSIBILITIES AND TASKS

  • Ensure the timely and accurate review, interpretation, abstraction, and input of lease data for all store leases and amendments.
    • Review and analyze lease documents.
    • Track and confirm opening dates for new or relocated stores, effective dates for expansions, and other critical dates for renewals, etc.
    • Maintain the real estate database from which the monthly rent payments are issued, critical decision dates are tracked, and other lease data is summarized.
    • Ensure critical decision dates are met related to exercised options, CPI, FMR, early cancellations, etc.
    • Respond to inquiries from the divisions, field personnel, landlords, accounting and others regarding lease payments, information, and critical dates.
    • Review Landlord correspondence regarding changes in address and/or ownership to determine if proper notice and documentation has been provided in order that rent payments are issued to the proper party at the correct address.
    • Obtain and analyze W-9 information for year-end tax reporting, and information received from governmental anti-terrorist database to comply with the Anti-Terror Executive Order.
  • Audit Amendments/Options and other misc. lease changes
    • Audit data entry within Real Estate Database.
    • Ensure best practices and procedures have been followed.
    • Update Change Report for Audit Trail.
  • Prepare and process Legal documents, including but not limited to Estoppels, SNDA’s (Subordination, Non- Disturbance and Attornment Agreements), LAA’s, etc.
  • Request COI (Certificates of Insurance) for PSG Real Estate from 3rd party. Verify requests for insurance certificates are compliant with lease provisions. Assist with Corporate Real Estate and Automotive Real Estate as needed.
  • Assist with Corporate/Automotive Lease Administration and Audit function as needed and act as backfill.
  • Assist with other tasks and projects as necessary.

QUALIFICATIONS

POSITION REQUIREMENTS

FORMAL EDUCATION:

Required:

  • Bachelor’s degree

Preferred:

  • Bachelor of Business Administration, Finance or Accounting.

KNOWLEDGE & EXPERIENCE:

Required:

  • Expertise in administrative tasks such as managing files and records, such as legal documents and contracts.
  • Knowledge of mathematics and its application
  • Significant knowledge of economic and accounting principles and practices, the financial markets, banking, and the analysis and reporting of financial data
  • Real Estate/Lease Administration experience
  • 2+ years business or real estate experience

Preferred:

  • Legal experience

TECHNICAL/SKILL REQUIREMENTS:

Required:

  • Microsoft Office products Word, Excel, and PowerPoint
  • Must have the ability to accurately calculate rent payments, prorations and summarize lease provisions, decision dates and obligations.
  • Clear and concise communication in verbal and written form
  • Ability to arrange information according to specific rule(s)
  • Time management
