Overview

This position provides complex administrative support to the Sr. Associate Dean for Clinical Systems in the School of Dentistry at OHSU. The OCS Administrative Coordinator provides general and program specific administrative services to support the smooth and efficient operation of the Office of Clinical Systems.

 

Job duties include calendaring, note-taking, maintaining records; activities related to the recruitment, onboarding and orientation of new clinical faculty and staff; clinical orientation for student learners and residents; maintaining on-call system for predoctoral faculty; compliance tracking, p-card reconciliation, travel arrangements; project management support; and IT contact for the System.

 

This position maintains a schedule of regular business hours and a hybrid work location, working on-site 3 days per week, and additional days, as needed. 



Responsibilities

  • Four years of general office or secretarial experience; OR
  • Associate's degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR
  • Bachelor's degree and two years of general office or secretarial experience; OR
  • An equivalent combination of training and experience
  • Experience with room reservations, ordering catering, setting up video conferencing
  • Must have demonstrated experience working in confidential situations
  • Must have previous experience with electronic scheduling software such as Outlook
  • Previous experience disseminating policies and procedures
  • Excellent communication skills, both written and verbal; ability to know when to use discretion
  • Ability to process a high amount of transactions, with accuracy and priority
  • Proficiency with MS Office (Outlook, Word, Excel, PowerPoint) and ability to learn new technologies
