The Facility Management Coordinator plays a key role in maintaining a safe, efficient, and well-functioning workplace environment. This role is responsible for overseeing facility operations, coordinating maintenance, managing vendors, and ensuring compliance with safety and environmental standards. Additionally, the coordinator serves as the point of contact for building emergencies, supports space planning, and provides support for shipping, receiving, and daily facility operations.

 

Facility Coordinator Responsibilities:

Facility Operations & Maintenance:

  • Coordinate and manage routine and preventive maintenance of building systems (HVAC, electrical, plumbing) to ensure efficient and safe operation.
  • Develop and oversee preventive maintenance schedules for critical infrastructure and assets.

Vendor & Contractor Management:

  • Schedule and supervise work from external service providers including janitorial, landscaping, pest control, etc.
  • Ensure vendor work meets contractual obligations and quality standards.

Work Order & Request Management:

  • Receive, prioritize, and track facility-related service requests from staff.
  • Ensure timely resolution and follow-up for all facility concerns.

Safety & Compliance:

  • Monitor compliance with all relevant building codes, OSHA standards, and environmental regulations.
  • Conduct periodic safety checks and audits to ensure facility safety readiness.

Space Planning & Office Setup:

  • Assist in coordinating office moves, workstation setups, and layout changes.
  • Support furniture, equipment, and space configuration needs.

Inventory & Supplies Management:

  • Maintain appropriate levels of facility-related inventory (cleaning supplies, light bulbs, tools).
  • Order supplies as needed to ensure uninterrupted operations.

Financial Oversight:

  • Track and monitor facility-related expenses and support budget preparation.
  • Obtain contractor quotes and assist with cost-effective procurement and vendor selection.

Emergency Response:

  • Act as a primary point of contact for facility-related emergencies.
  • Coordinate emergency response actions and liaise with internal and external responders.

Shipping & Receiving:

  • Receive, inspect, and record incoming shipments; ensure accuracy of deliveries.
  • Sort and distribute packages and mail to appropriate departments.
  • Prepare and package outgoing shipments; maintain accurate records of shipping activities.
  • Maintain cleanliness and organization of shipping/receiving area.

Additional Responsibilities:

  • Manage all aspects of the organization's Verizon Wireless account, including procurement, billing, and service adjustments.
  • Serve as the building owner's representative for SMECO, supporting compliance with the Maryland Climate Solutions Act.


Facility Coordinator Qualifications and Skills:

  • High School Diploma or equivalent required; Associates or Bachelor’s degree in Facilities Management, Business Administration, or related field preferred.
  • 3+ years of experience in facility or operations management.
  • Strong knowledge of building systems and maintenance practices.
  • Excellent organizational and project management skills.
  • Familiarity with OSHA regulations, safety standards, and preventive maintenance planning.
  • Proficient in Microsoft Office Suite and facilities management software.


Work Location:

  • Parraid headquarters is in Hollywood, Maryland, United States.
  • At minimum, candidate must be located near a desirable travel gateway.
  • This position is full-time and on-site at our facility. Telework is not an option for this position.
  • Work hours are Monday through Friday during standard business hours.
  • Occasional after-hours availability may be required for emergency response or facility projects.
  • Office and facility-based with regular walking, standing, and occasional lifting of materials.


Salary Range:

$55,000 - $65,000
