Description

Responsible for employment processing and records of employee system such that qualifications for student employees are checked, students are properly placed or removed from payroll. Ensures that agreements and payroll forms are properly filled out and signed. Prepares student job assignments and payroll information forms for all student employees.

Assist in maintaining payroll records for student and graduate staff of Residential Life. Assist with processing student staff time records. Maintains accurate and complete employee files for all student staff. Ensures all employees have access to scheduling software and appropriate privileges in software.

Processes and maintains record for all housing exemptions accurately and timely. Corresponds to students with results of exemptions. Manages the exemption database.

Monitor and manage housing email communications by promptly reviewing, responding, and routing messages to appropriate parties in a timely manner.

Greet and assist in-person and telephone customers

Cross-trained to fill in for department accountant including bill payment and other daily tasks.

Cross-trained to fill in within the office in times of absence such as assigning students to rooms and/or apartments, making room changes, and providing other customer services.

Assists with entering student codes into Banner.

Scan and index student records into university document imaging system (Xtender)

Maintain accurate and updated records and databases for microwave and refrigerator rentals and the care package program.

Examples of Duties

30% Employment and payroll processes

  • Verifies eligibility of undergraduate staff applying for positions.
  • Process and maintain all hiring and removal from employment records for student staff including human resources documents, payroll documents, and When To Work software access (over 110 employees).
  • Cross-train timesheet approval processes and serve as a backup in this role.
  • Maintain accurate and complete employee files for all student staff in Xtender.
  • Post housing staff and graduate staff room and meal credits within the Banner system.

30% Receptionist responsibilities
  • Provides daily support for the Central Office of University Housing.
  • Monitor and manage all housing email communications by promptly reviewing, responding, and routing messages to appropriate parties in a timely manner.
  • Answer telephones and voicemails, provide information, and direct calls as appropriate.
  • Assists students, parents, and visitors with multiple issues.
  • Direct students in filling out forms, including meal plan agreements, housing agreements, exemptions, and housing cancellation requests.
  • Daily distribution of mail and posters.

30% Administer housing administrative processes
  • Daily downloading and processing of meal plan requests. Includes team effort processing during the bulk window of activity.
  • Reconcile meal plan purchases and cancellations.
  • Reviews and processes all housing exemption requests, including sending follow-up correspondence to students, as well as manages the exemption database.
  • Assign all received housing appeals and track the completion of appeals.
  • Scan and index student records into the university document imaging system (Xtender)
  • Assists with coding student records within the Banner system.
  • Prepares lists and notifications for housing service programs such as lofts, refrigerators, microwaves, and care packages.
  • Perform other tasks assigned by senior staff of Housing.

10% Crosstrain other roles
  • Crosstrain to fill in for the department accountant to include the paying of bills and other daily tasks.
  • Crosstrain in operation positions to include assigning students to rooms and/or apartments and room changes.
  • Crosstrain to assist with payroll approval processes.
  • Crosstrain to edit and revise departmental Google Site.


Typical Qualifications

Education:
  • High school diploma or equivalent

Experience:
  • Two (2) years office experience as administrative assistant required
  • Two (2) years of customer service experience required.
  • Knowledge and familiarity with computer programs such as Excel, Word, Access, PowerPoint, Google Sheets, Google Docs, and Gmail preferred.
