Reporting to the Director of Resource Management and Description, the Resource Management and Description Coordinator contributes to the daily operations and functions of the Resource Management and Description area, which includes cataloging and resource description processes, materials handling, acquisitions, order management, and administrative support. This position is also responsible for overall management of physical and electronic resources that may include activation, record, and metadata maintenance, and troubleshooting for databases, online journals, eBooks, and other web-based information resources using bibliographic databases and vendor systems.

Duties and Responsibilities:
  • Acquisitions and Order Management: Identifies and processes requested items for library acquisition using vendor systems, e-commerce sites and bibliographic databases, verifies accuracy of data, monitors requests for duplicates, and places orders through a variety of channels. May participate in acquisitions functions in the integrated library system and vendor interfaces such as EBSCOnet and GOBI. Communicates with publishers, vendors, and staff regarding order status. Track changes in content, cost, and approval status for new and renewal orders. Troubleshoot and supports order issues with vendors.
  • Cataloging and Resource Description Control: Identifies, verifies, and edits descriptive data for library resources (including but not limited to MARC records and Dublin Core data), using international bibliographic databases (OCLC) and other similar tools, making corrections or adjustments in accordance with bibliographic and technical standards (including authoritative heading forms based on Library of Congress), as needed.
  • Electronic Resource Management: Establishes and maintains access to electronic resources like databases, online journals, and eBooks in the electronic resource management system and other discovery tools with accuracy. Keep abreast of changes to access, titles, provider, information related to evidence-based acquisition programs, etc. Collaborates with library staff on metadata changes, integration, and optimization of systems for the discovery and access of collections. Activates access and troubleshoots access issues for electronic resources, collaborating with library staff and vendors; builds strong relationships with library staff and vendors.
  • Materials Handling: Checks-in library materials in the library’s management information system. Processes journals for professional binding and updates associated catalog records. Completes processes and record maintenance for withdrawal physical and digital materials.
  • Administrative Support: Includes ordering supplies for Resource Management & Description. Receives and distributes supplies upon arrival. Oversees administrative functions in support of student employees within Resource Management & Description.
  • Materials Fund Support: Monitors materials budgets and report on expenditures and acquisitions.
  • Contributes to programs, goals and strategic initiatives of the Collections and Scholarship, Falvey Library, Villanova University, and professional organizations, as appropriate.
Minimum Qualifications:
Formal Education
  • High school diploma or equivalent, required.

Minimum Work Experience
  • Ability to work independently with minimal supervision.
  • Demonstrated interest and enthusiasm for developing and maintaining relationships with diverse user communities.
  • Strong organizational skills and attention to detail; ability to handle high volume of activity with a high degree of accuracy.
  • Excellent communication skills with the ability to present information and ideas clearly and concisely.
  • Demonstrated proficiency with email systems, Internet web browsers, and desktop office applications, including Microsoft Office products, required.


Preferred Qualifications:
  • Bachelor’s degree strongly preferred.
  • 1+ years of progressively responsible relevant experience, preferred.
  • Knowledge of electronic resource management utilities and automated library software, preferred.
  • Knowledge of bibliographic control procedures and standards, including familiarity with Library of Congress classification system, MARC, and RDA, preferred.
  • Knowledge of University student employment system, such as NOVASIS, preferred
Physical Requirements and/or Unusual Work Hours:
  • Prolonged sitting, standing, and walking for up to 4 hours at a time, frequent bending and lifting, able to lift up to 40 lbs. of library materials while moving/walking, pushing, and pulling a book truck (4 wheels) of library materials weighing between 50 and 100 lbs., ability to climb several flights of stairs on an occasional basis.
  • The Library is staffed 90+ hours a week. The Resource Management and Description Coordinator may be required to work evenings, weekends and/or holidays on a regular or interim basis. Work schedules may vary during semester and summer sessions based on library hours of operation.
