Program Administrator
The University of Pittsburgh School of Nursing is seeking a qualified Program Administrator.
Recently ranked 2nd by US News & World Report for our Nurse Anesthesia DNP program, 4th (tie) for our Bachelor of Science in Nursing program, and 5th for our Psychiatric Mental Health Nurse Practitioner DNP program, the School of Nursing continues to be one of the most reputable and well-known nursing education schools in the country for both undergraduate and graduate level programs.
The Program Administrator provides a high level of support to the MSN (Master of Science in Nursing) and DNP (Doctor of Nursing Practice) Program Coordinators, ATC (Acute & Tertiary Care) Tenured and Tenure Stream faculty and provides clerical assistance to research staff when necessary. The position serves as the main point of contact for MSN and DNP Coordinators, directly assists the Vice Chair of Research, and serves as the liaison between the MSN / DNP coordinators, internal departments, students, and external stakeholders when appropriate.
Supports senior level roles in a wide variety of complex administrative and office functions as well as specialized technical support for academic or administrative departments.
Provide a high level of support to Coordinators of MSN and DNP Programs, Vice Chair of Research, tenured and tenure stream faculty
Serve as the main point of contact for internal and external communications. Answering phone calls, responding to emails, and acting as the liaison between program staff, students, and other stake holders. Following up with program inquires and scheduling and preparing for meetings / interviews accordingly.
Maintain databases, spreadsheets, and other digital records to support program operations and reporting. Track and compile information of interest. Maintain physical and digital filing system to ensure accurate record-keeping and easy retrieval of documents (current student files, alumni files, program records).
Schedule and coordinate guest lecturers for MSN and DNP Coordinators.
Schedule and coordinate meetings. Assist in meeting preparation and attend meetings to record minutes.
Work closely with tenured faculty, tenure stream faculty, and the Vice Chair of research. Assist in the collection and preparation of documentation for grant applications, schedule meetings with stakeholders, and organize pre-grant review panels.
Investigate resources, compile data, and prepare reports to support program evaluations for annual and monthly meetings.
Work with research staff, faculty, clients, and other stakeholders to ensure effective communication and coordination.
Facilitate and assist with quality assurance measures and processes, building consistency and maintaining a high level of organization.
Plan and coordinate travel for faculty, students, faculty candidates, and stakeholders.
Plan and coordinate events. Attend events and meetings as needed.
Little physical effort required. Duties are primarily sedentary.
