We are seeking a full-time Administrative Services Supervisor. This position is responsible for the day-to-day supervision of the department. The Supervisor ensures timely and accurate processing of CME functions start to finish. The supervisor works with multiple departments within Paradigm CCS to ensure coordination meets company standards.
The position will report to the Sioux Falls office. Hours: Monday – Friday, 10a – 7p.
Responsibilities:
- Oversee and ensure timely and accurate processing of CME, Reports & Invoicing and auditing functions start to finish. This includes inbound and outbound company phone calls, ALARISware updates, letter development and distribution, transcription services, report distribution, interpretation scheduling, medical record requests, appointment confirmations, database updates, and medical provider prepayments.
- Serves as day-to-day resource to the team.
- Overseeing the handling of the CME team queue.
- Responsible for attending ongoing training/calls as needed.
- Supervise CME team and all aspects of their jobs, QA, and communication.
- Oversees team scheduling and approves request for time off and timesheets
- Responsible for new and ongoing training of all members of the team as well as transfer of knowledge to team leads for assistance in training.
- Prepares performance evaluation and addresses staff performance issues on an ongoing basis.
- Assists manager in staffing analytics, recruitment, and hiring.
- This position may have other duties as assigned by Administrative Services leadership.
Supervisory Responsibilities:
- Mentor, train, and supervise team members directly and indirectly, review their work and provide effective constructive feedback.
- Ensure all team members understand, are trained in, and comply with Paradigm’s security requirements and policies.
- Ensure all team members have the minimum level of IT system access required to effectively complete their Paradigm responsibilities.
Qualifications:
- Bachelor’s degree or equivalent experience.
- Excellent organizational skills and attention to detail.
- Ability to work collaboratively with all team members and other departments within Paradigm CCS and the Paradigm Enterprise.
- Ensure quality-based work consistent with customer wishes and company standards.
- Excellent time management.
- Some travel may be required.
- Ability to train/mentor new and existing staff.
- Thorough knowledge of referrals and marketing expectations to support objectives.
- Self-motivated and able to work with little supervision.
- Exceptional computer skills, including Microsoft Office and web-based applications.
- Ability to establish interpersonal relationships in a virtual work environment as well as an office setting.
- Excellent problem-solving ability.
- Clear, concise and professional verbal and written communication.
- The ability to operate a personal computer for extended periods.
