Position Overview:

Daily coordination of Service Technician work schedules and primary customer service contact.


Key Responsibilities:

  1. Answer incoming calls, schedule appointments, provide updates, and address scheduling concerns/questions, while providing excellent customer service.
  2. Make decisions regarding Service Technician assignment & prioritization of incoming service calls.
  3. Monitor and respond to daily email, create work orders, create and enter Purchase Orders.
  4. Maintain accurate records of service calls, work orders, and customer contact information in company database.
  5. Coordinate daily operations, including scheduling, dispatching, and tracking of service technicians (HVAC/Plumbing) for installations, repairs, maintenance, project work, service calls (emergent and non-emergent), and overhead work orders/intercompany jobs.
  6. Order and track preventive maintenance materials for site deliveries (CFS).
  7. Order and coordinate delivery, as well as call offs, of lifts for site delivery/pick up; negotiate pricing, maintain good working relationships with suppliers/vendors.
  8. Coordinate with other departments (Account Specialists, SPG, etc.) to assist with jobs/manpower, and to streamline processes and facilitate communication.
  9. Regular attendance and promptness are considered a critical part of this employee's essential job functions.


Required Skills and Abilities:

  1. Strong oral and written communication skills.
  2. Strong organizational skills with the ability to prioritize tasks & manage multiple projects simultaneously.
  3. Detail-oriented with a focus on accuracy and quality of work.
  4. Excellent communication skills, both verbal & written, with the ability to interact effectively with customers, colleagues, and vendors.
  5. Flexibility to adapt to changing priorities, tolerating interruptions, and willingness to take on additional responsibilities as needed.
  6. Ability to focus and work independently with minimal supervision, as well as part of a team in a demanding environment.
  7. Ability to solve practical problems in areas where limited standardization exists.
  8. Knowledge of MS Office (Word, Excel, Outlook) or ability to learn systems quickly.
  9. Knowledge of HVAC & Plumbing systems and terminology a plus, but not required.


Preferred Education and Experience:

  • Minimum 2 years related experience and/or training/education.


Required Licensing and Other Certifications:

  • Maintain a valid driver’s license and satisfactory driving record.
