Core4ce is seeking a dedicated and organized Administrative Assistant I/Senior Administrative Professional to join our team on a full-time, regular basis. As an integral part of our administrative team, you will play a crucial role in supporting our daily operations and contributing to the efficiency of our business.

Responsibilities:

• Provides overall administrative and clerical support to the organization

• Enters data into various systems

• Integrates information into required reports

• Generates and maintains files, forms and establishes file plans

• Processing mail (receive, sign for, distribute mail, and dispatching outgoing mail)

• Prepares/reviews correspondence

• Process and submits S&PRs

• In-Processes new employees for RXE division (contractors)

• Monitors CAC renewals

• Processes telework package information

• Processes student applications

• Assembles and coordinates Public Release packages

• Manages office equipment accounts/property and equipment oversight

• Ordering supplies and equipment

• Updates rosters (evacuation and recall)

• Maintain organizational calendars and schedule conference rooms on and off base

• Answers phones and takes messages

• Supports financial, operations, management, and business applications to include Defense Travel System (DTS), Defense Civilian Payroll System (DCPS), Job Order Cost Accounting System (JOCAS), Technical Reports Tracking System (TRTS), Commander’s Resource Integration System (CRIS/BQ), and Work Unit Information Management System (WIMS)

• IT Account Requests (DD2875)/Equip

• Division/Research Teams Comm Items (e.g. Posters, Website Updates, etc.)

• The duties of this position will also include the participation,?possibly in both writing and review, in the bid and proposal process for Azimuth's continued work in government contracting.?This participation will be on an as-needed and as-requested basis by personnel in the Business Development department, within corporate, and/or within the supervisory chain of this position.? This position's inclusion?in the bid and proposal process is vital to the understanding of duties, responsibilities, tools and function of the position and to proper conveyance for Azimuth's past performance.

Requirements:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and planning skills
  • Excellent written and verbal communication skills
  • Ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Strong interpersonal skills and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors
  • Ability to maintain confidentiality of sensitive information
  • Time management skills with the ability to meet deadlines
  • Familiarity with office management procedures and basic accounting principles
  • Competency in administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Experience with office equipment, like printers and fax machines
  • Adaptability and flexibility to handle a variety of tasks and shift priorities as needed
  • Professionalism and strong work ethic
  • Customer service orientation
  • 1 to 2 years of proven experience as an administrative assistant, senior executive assistant, or in other secretarial positions
  • High School Diploma or equivalent; further training will be considered a plus
  • Familiarity with office organization and optimization techniques
  • High degree of multi-tasking and time management capability
  • Experience in handling confidential documents and information with discretion
  • Proven experience in managing office supplies and negotiating with vendors
  • Experience in preparing reports and presentations using various software
  • Demonstrated ability to manage projects and follow-up on pending matters with minimal supervision
  • Experience in making travel arrangements and scheduling appointments
  • Prior experience in customer service or reception roles may be advantageous
  • A track record of maintaining a professional appearance and providing a positive company image to the public
