As the Fleet Coordinator, the main priority is Planning and Scheduling. You will serve as a liaison between internal customers and technicians to process Equipment and Fleet repair requests and ensure work is completed in a timely manner.
Key Responsibilities:
- Responsible for managing the Preventative Maintenance Program which includes:
- Working with internal customers to determine repair needs, scheduling the repair, developing cost estimates, and relaying information on the repair.
- Entering repair details into the computer maintenance management system (CMMS), preparing repair instructions, logging parts, and including work orders or vendor quotes.
- Scheduling Technicians for each job, monitoring estimated repair time, and ensuring instructions include required safety procedures, PPE, and tools.
- Ensuring repairs are complete and required documentation is included with the work order.
- Serve as a liaison between internal customers who need repairs on their equipment and the technicians/vendors who provide repairs.
- Ensure the accuracy of CCMS by regularly updating asset records, meter readings, maintenance schedules, and other essential data. Work closely with operations leaders and the equipment department to establish or adjust work orders to meet schedules.
- Coordinate third-party vendor repairs and secure estimates.
- Provide support to the equipment department with parts procurement and delivery tracking as needed, foster relationships with internal customers and vendors/suppliers.
- Assist with coordination of equipment moves between job sites and other operational tasks when time allows.
Knowledge, Skills & Abilities:
- Experience in the Construction and/or Heavy Equipment Industry preferred.
- Proficiency with a CMMS or scheduling software system is ideal.
- Must be a strong team player, able to work effectively with a variety of people, skills and organizational levels.
- Self-starter with exceptional organizational skills, capable of managing multiple tasks and projects efficiently.
- Strong written and communication skills
- Effective interpersonal and communication skills.
- Required Microsoft Excel, Word and Outlook skills

Work Environment & Physical Demands:
- Regularly required to stand, sit and move about work sites
- Ability to work with computer equipment and office equipment
- Ability to lift objects up to 30 lbs.
