We are seeking a detail-oriented and deadline-driven RFP Writer Specialist to manage and respond to Requests for Proposals (RFPs), Requests for Information (RFIs), and similar procurement documents. This role is critical in supporting our business development efforts by crafting compelling, accurate, and strategic proposal responses for prospective clients in the ARM and healthcare/RCM industries.

• Lead the end-to-end RFP/RFI response process, including content gathering, writing, editing, formatting, and submission.
• Collaborate with cross-functional teams including Sales, Legal, Compliance, Operations, Product, and Subject Matter Experts to collect accurate and timely input.
• Write clear, concise, and persuasive responses tailored to the needs and priorities of each prospective client.
• Maintain and continuously update a centralized content library of pre-approved responses, company stats, case studies, and legal/compliance information.
• Ensure all submissions are compliant with client instructions, deadlines, and internal quality standards.
• Review and analyze RFP documents to identify requirements, risks, and strategic fit.
• Support and contribute to additional proposal content, including executive summaries, capability statements, and supporting documents as needed.
• Monitor industry trends and competitor proposals to enhance our messaging and positioning.

• Bachelor's degree in English, Communications, Marketing, Business, or a related field.
• 3–5 years of experience in proposal or RFP writing, preferably in a B2B environment.
• Experience writing for industries such as ARM, healthcare, RCM, collections, or financial services is strongly preferred.
• Exceptional writing, editing, and proofreading skills with strong attention to detail.
• Ability to translate complex technical or operational information into client-focused, benefits-driven language.
• Familiarity with RFP portals and procurement platforms (e.g., Bonfire, Ariba, BidNet, etc.).
• Proficiency in Microsoft Word, Excel, PowerPoint, and PDF tools. Experience with proposal management software (e.g., RFPIO, Loopio, Qvidian) is a plus.
• Strong project management skills and ability to manage multiple deadlines simultaneously.

Preferred Qualifications:

• Knowledge of HIPAA, FDCPA, CMS, or other relevant regulatory frameworks is a plus.
• Experience collaborating across departments and managing inputs from multiple stakeholders.
• Strong organizational skills and an ability to work independently with minimal oversight.
• Strategic mindset with the ability to position the company effectively against competitors.
