The Gateway Administrative Assistance is a key driver in making the Gateway a great place to work. This position offers interaction with our Clearance teams at every level ensuring events are coordinated and ensuring our teams have what they need to make their jobs easier. The Administrative Assistance is the expert of social activities and entertainment while at the same time a driver of the day to day administration of clerical responsibilities.

Starting pay range $33.93-45.24

Key Responsibilities:

    • Manage workflow by assigning and completing tasks accordingly, ensuring that deadlines are met and work is completed timely and accurately including accounts payable and receivable
    • Vendors follow up and coordination
    • Support the finance and operations teams by managing billing processes, overseeing accounts payable, and coordinating with vendors to ensure timely order fulfillment
    • Assist in the coordination of Gateway Activities
    • Implement and monitor programs as directed by management, and see the programs through to completion
    • Generate communication and reports when appropriate
    • Assume responsibility for maintenance of office equipment, including computers, copy machines and other hardware for the Gateway
    • Maintain office supplies by checking inventory and order items
    • Respond to questions and requests for information
    • Managing calls, Email, correspondence, meeting scheduling, calendar, filing system and documents as needed
    • Other duties as assigned by management

Skills & Qualifications:

This role requires strong organizational skills, attention to detail, and effective communication abilities

Skills & Qualifications:

  • High School or Equivalent
  • Prior Administrative experience highly desired
  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
  • Ability to analyze and revise operating practices to improve efficiency
  • Detail oriented and comfortable working in a fast-paced office environment
  • Excellent communication skills
  • Superior organization skills and dedication to completing projects in a timely manner
