Position Overview:

Provide administrative support to the Industrial Group.


Key Responsibilities:

Project Coordination for Estimating:

  1. Set up Trax numbers in Cosential in coordination with BD.
  2. Set up and maintain Job Folders for Estimating/ Proposal packages.
  3. Insert Project packages into Estimating folders (Trax jobs).
  4. Coordinate with PM, PE, Operations, and Est in estimating duties.
  5. Retrieve vendor quotes for equipment (per equipment schedules), subcontracting, and equipment rentals.


Project Coordination for Won Jobs:

  1. Job Folder setup after PM enters new job request.
  2. Equipment tracking.
  3. Subcontracts and subcontractor coordination.
  4. Materials tracking.
  5. Rental equipment tracking.
  6. Material orders with PM/PE coordination.
  7. Tool rental and small tool tracking (UMC-owned tools).
  8. Startup and Commissioning packages.
  9. TAB / TAB Reports.
  10. QA/QC packages.
  11. Qualifications/ Certs.
  12. Permits tracking- In coordination with PE.
  13. Invoice/ PO Closeout.
  14. Submittals/RFI- In coordination with PE.
  15. Document control coordinated with PE/PM.
  16. UMC Fabrication tracking/Coordination.
  17. BIM/VCS Coordination with PE.


Project Coordination for Job Closing:

  1. Document Deliverables (DWGS, VCS Files, Matrices).
  2. Closeout package (Red Line DWGs, Weld Logs, QA/QC, Certs/Tests).
  3. TAB Reports
  4. Startup/ Commissioning Reports
  5. Equipment IO&M’s
  6. Rental Return and closeout
  7. Tool Return and closeout (UMC owned)


Project Coordination for Industrial Group:

  1. Assist in Maintaining IG Trade Rates.
  2. T&M Rates-General.
  3. T&M Rates- for preferred customers.
  4. T&M Rates - for specific work.
  5. Maintain Updated Contract Documents for Locals.
  6. Maintain Updated Rental rates for standard rentals (Fork trucks, lifts, Vari-reaches).
  7. Maintain Standard file folders to IG estimating.
  8. Maintain Standard COP forms (short work, large jobs, GMP contracts).


Secondary Responsibilities:

  1. Assist in the preparation of MS Project schedules.
  2. Coordinate Site Specific Safety Plans with UMC Safety Manager.
  3. Assist in the generation of on-site safety weekly documentation.
  4. Attend meetings and document follow-up actions.


Required Skills and Abilities:

  • Proficiency with MS Outlook, Access, Excel, Word, Adobe, Internet Browser, and Windows Explorer file management.
  • Accuracy and efficiency with administrative and clerical procedures and systems including filing and records management systems.
  • Professionally handle phone calls.
  • Excellent organizational skills.
  • Strong oral & written communication skills.
  • Work effectively as a team with other employees as well as independently.
  • Work effectively with multiple interruptions and manage priorities.


Preferred Education and Experience:

  • Associate of Art Degree in Business or 1 year of construction experience work experience preferred.


Required Licensing and Other Certifications:

  • Maintain a valid driver’s license and satisfactory driving record.
