The Program Associate supports the successful implementation of media development programs in Latin America by providing coordination, communication, and administrative support across a range of activities. Working under the supervision of the Senior Program Officer II, the Program Associate contributes to internal and external reporting, event logistics, monitoring and evaluation, and stakeholder communication. They assist with proposal development, financial administration, and compliance tasks, while also helping maintain program systems and documentation. The role requires strong organizational skills, proactive communication, attention to detail, and the ability to communicate effectively in both English and Spanish. The Program Associate plays a key role in fostering collaboration across teams and ensuring the smooth execution of program operations in alignment with IREX’s mission and donor expectations.

Your Background & Skills

  • Bachelor’s Degree
  • 1+ years of relevant work experience, including internships or part-time roles; experience may vary based on program, project, or practice needs.
  • Exposure to or experience supporting media development, journalism, or freedom of expression initiatives, particularly in Latin America, is preferred.
  • Fluency in English and Spanish, with strong written and verbal communication skills in both languages.
  • Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines.
  • Demonstrated ability to work collaboratively in a multicultural team environment.
  • Familiarity with digital communication tools, social media platforms, and content creation.
  • Understanding of project coordination, event planning, and donor-funded program operations.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and comfort learning new systems.
  • You must have unrestricted authorization to work in the United States.

Your Daily Tasks

  • Assist in preparing internal and external reports, presentations, and deliverables by gathering data, formatting content, and drafting materials for review.
  • Provide logistical support for program activities, including scheduling meetings, coordinating travel, organizing events, and maintaining calendars.
  • Assist with financial administration, including processing check requests, vendor payments, and reimbursements; support sub-award documentation and procurement processes. Keep internal trackers and systems updated.
  • Support monitoring and evaluation (M&E) by managing data entry, cleaning, and basic analysis; contribute to M&E reports and dashboards.
  • Maintain program communication systems, including shared inboxes and contact databases, ensuring timely and accurate responses.
  • Draft and edit written communications such as meeting notes, emails, and briefing materials for internal and external stakeholders.
  • Track and organize program documentation and files to ensure accessibility and compliance with internal systems and donor requirements.
  • Support business development by conducting desk research, drafting past performance references, writing proposal sections, and contributing to proposal strategy and design.
  • Collaborate with internal departments and team members to ensure smooth program implementation, consistent messaging, and alignment with program goals.
  • Participate in team meetings, contribute to workflow improvements, and engage in organizational initiatives with a positive and proactive attitude.
  • Other support duties as needed.

The salary range for this role is $52,000 to $54,000 annually, depending on experience and qualifications. Final compensation will be based on the candidate’s relevant skills, experience, and alignment with the role’s requirements.

Please note: While we aim to offer competitive compensation, not all candidates will be eligible for the upper end of the salary range.
