Job Title: Office Manager/Travel Analyst

Department: Operations – Services

Reports To: RavenTek Program Manager

Location: Washington, DC

Schedule: Monday - Friday

Hours: Full-time, 40-hours/week

FLSA Status: Hourly, non-exempt

Clearance: Public Trust


Position Summary

The Office Manager/Travel Analyst will support the Department of Veterans Affairs (VA) Electronic Health Record Modernization Integration Office (EHRM-IO) program, providing support to other Units and Offices within the VA to ensure the success of the program's mission. The performance of the Office Manager/Travel Analyst position is key to RavenTek's performance on the contract, and therefore RavenTek's mission to support the customer.

Requirements:

Essential Duties and Responsibilities

  • Support the EHRM-IO Administrative Office by providing office management and travel requirements across all EHRM federal and contractor staff.
  • Coordinate and complete duties in the EHRM-IO spaces, helping to ensure the office operates efficiently and smoothly.
  • Duties include but are not limited to escorting visitors, managing all office supplies, scheduling regular maintenance on all EHRM-IO equipment, locker management, and assisting the Administrative Officer with other tasks as needed.
  • Assist with organizing and booking travel.
  • Enter actual time worked, once complete, at the end of the day, or no later than 10:00 a.m. the following workday, and submit timesheets at the end of each pay period.
  • Provide Monthly Status Report (MSR) to the RavenTek Program Manager by the deadline provided.
  • Monitor and respond to RavenTek email a minimum of 3 times per week.
  • Complete required compliance trainings as required.
  • Other duties as assigned.

Qualifications, Knowledge, and Critical Skills

  • Must have experience in creating, applying, and maintaining tools to track program, project, or task performance data, including cost, schedule, and performance data.
  • Must have experience in the creation of routine and ad hoc reports.
  • Must be able to provide oral and written discussion of analytical findings using narrative and graphic forms.
  • Must be willing and able to lift items up to 30lbs.
  • Must be highly organized and able to create an organized and easy-to-follow system for others.
  • Must have the ability to handle multiple tasks and duties simultaneously.
  • Must be independently motivated, with the ability to take on tasks and duties without immediate direction.
  • Must have familiarity with office equipment, such as fax machines, printers, copy machines, and phone systems, etc. is highly desired.
  • Ability to maintain a high level of professionalism in a fast-paced work environment.
  • Ability to work both independently and under supervision.

Education & Work Experience

  • 5+ years of professional work experience.
  • Bachelor's degree in a business discipline, or an additional 8 years of relevant experience may be substituted for degree requirements.
  • Experience implementing Electronic Health Records is preferred.
  • Experience in the VA is preferred.

Work Environment

Employee will be working indoors in an office environment with other people. Potential moderate temperature fluctuations. Typical indoor and computer related noise level, and typical office, paper, and equipment related dust. Exposure to video display terminals occurs on a regular basis.


Physical Demands

To successfully perform the essential functions of the job, the employee needs to be able to sit at a workstation for extended periods; use hand(s) to handle or feel objects, tools, or controls; reach with hands and arms; talk and hear; see to read printed materials and computer screens; mobility to work in a typical office setting. Ability to work on desktop or laptop computer for extended periods of time reading, reviewing/analyzing information, and may be required to provide recommendations, summaries and/or reports in written format. Must be able to effectively communicate with others verbally and in writing. Employee must be able to lift and/or move moderate amounts of weight, up to 30 pounds. Regular and predictable attendance is essential.
