Description

The Radiology Diagnostic Imaging Services Scheduler is responsible for coordinating and scheduling imaging appointments for patients across a variety of modalities, including CT, MRI, Ultrasound, Fluoroscopy, Dexa, and Nuclear Medicine. This role ensures that all imaging appointments are accurately scheduled in a timely manner, aligned with clinical protocols, and supported with the necessary authorizations and documentation. The scheduler serves as a critical liaison between patients, referring providers, and the Radiology department to facilitate high-quality, efficient care.

Key Responsibilities:

  • Schedule diagnostic imaging exams based on provider orders, imaging protocols, patient availability, and modality requirements.
  • Accurately enter and update patient and appointment information in the Radiology Information System (RIS) Medinformatix.
  • Verify exam appropriateness and ensure all required documentation is received prior to scheduling (e.g., referrals, clinical indications, insurance info).
  • Coordinate with prior authorization teams to ensure approvals are in place before scheduled appointments.
  • Communicate preparation instructions and exam details to patients clearly and professionally.
  • Collaborate with Supervisor and or Technologists to address scheduling conflicts, accommodate urgent requests, or resolve issues.
  • Monitor scheduling queues and respond promptly to internal and external scheduling requests or changes.
  • Ensure HIPAA compliance and maintain patient confidentiality at all times.

Qualifications:

  • Minimum of 1–2 years of experience in medical scheduling, preferably in a Radiology or outpatient imaging setting.
  • Familiarity with medical terminology, imaging modalities, and insurance authorization processes.
  • Proficient in scheduling software, EMR systems and Microsoft Office applications.
  • Strong communication, organizational, and time-management skills.
  • Ability to multitask and adapt in a fast-paced healthcare environment.

Education:

  • High School Diploma or equivalent required
  • Associate degree or healthcare-related training preferred.
