This Office Administrator provides our Headquarters office with a wide range of general administrative, operational, and management support. The Office Administrator manages all aspects of the assigned office and supports our Marketing, Human Resources, and Accounting team projects and assignments, including filing, stocking, and maintaining supplies for the office and breakroom, office decor, coordination of events, lunches, etc. In addition to Office and Administrative support, our Office Administrator manages our team's IT equipment, supports our fleet program management, and acts as a signatory for our badging processes for our team members in the Chicago area.


Duties and Responsibilities

  • Manage reception duties, including greeting and directing visitors, sorting mail, answering/routing calls, managing office equipment, stocking inventory, ordering supplies, and maintaining office organization
  • Assist with office technology and serve as the point of contact for the IT department and technology service provider
  • Maintain general office tidiness and decor; ensure the kitchen is clean and stocked; arrange holiday decorations and related office modifications when applicable
  • Coordinate document destruction when necessary and organize office storage space
  • Serve as the primary contact with building management; coordinate employee building access and parking, and resolve day-to-day facilities issues
  • Support office or corporate event planning, office meetings, and team outings, including event invites, catering, vendor coordination, scheduling, and payments
  • Coordinate badging, maintain records of expiration, and auditing for projects as needed
  • Provide a variety of administrative and project support to the marketing, human resources, and accounting departments as assigned
  • Perform other related duties in support of the assigned office and department as may be required
Requirements:
  • Associate degree, bachelor's degree preferred, significant related experience considered
  • 5+ years of administrative support or related experience
  • Experience in business administration, marketing, or accounting a plus
  • Experience working in A/E/C (Architecture, Engineering, Construction) industry is a plus
  • Demonstrated ability to maintain the highest level of confidentiality
  • Demonstrated knowledge of office management practices and procedures
  • Excellent written and verbal communication skills
  • Strong attention to detail, organizational skills, and problem-solving skills
  • Ability to balance multiple priorities, work effectively in a team environment and meet deadlines
  • Highly proficient with data entry, shared electronic filing systems, office management, and Office 365
