Description

This position will serve the Department of Career and Technical Education (CTE) and the College of Education (COE) Dean's Office, providing high-level administrative, operational, and student support across a range of programs and initiatives.

Serve as the Office Manager and lead administrative professional for the Department of Career and Technical Education, supporting CTE's campus-based, online, hybrid, and off-site programs. Under the administrative guidance of the Department Chair, coordinate daily office functions including purchasing, inventory, calendar management, and student worker supervision. Hire, train, and oversee student employees and ensure accurate time reporting and task delegation. Provide primary administrative support to the Department Chair and faculty. Responsibilities include travel coordination, event planning and organization, communications, scheduling, and academic calendar tracking. Manage multiple budgets by planning, documenting, monitoring, and reconciling financial activity across multiple funding streams in compliance with university policies. Generate financial reports and advise relevant personnel on account status and expenditure approvals.

Create, update, and maintain the course schedule in Banner each term in collaboration with the Chair, Program Coordinators, the Dean's Office, and the Registrar. Monitor course enrollment, implement adjustments, and coordinate room assignments and instructional delivery formats, including online and hybrid sections. Coordinate logistical support for off-site cohort locations, including classroom reservations, technology needs, and travel arrangements.

Provide basic academic advising services to CTE cohort and CTAC students, including enrollment guidance, registration holds, degree tracking, and support navigating university systems and deadlines. Maintain familiarity with articulation agreements and transfer pathways, especially those involving community college partnerships. Serve as a liaison for the Department to other academic units, administrative offices, and external agencies. Coordinate activities of the departmental advisory board, including meeting logistics, materials preparation, and communication with board members. Represent the College and Department professionally to students, stakeholders, and the broader community.

Provide additional support to the Dean's Office on special initiatives such as Teach It Forward, Future Teacher Academy, Rural Schools Initiative, the College of Education Paraprofessional Pathway, "Anchor Institution" projects, and College recruitment events, among others. Provide additional assistance to Dean's Office staff as needed, including assisting the Associate Dean with college assessment and accreditation efforts through data analyses, organization, maintaining records, and developing required reports.

Examples of Duties

CTE Administrative Support and Office Management - 20%
Serve as the Office Manager for the Department of Career and Technical Education (CTE), ensuring smooth daily operations across all departmental programs, including online, hybrid, on-campus, and off-site cohorts.
Provide direct administrative support to the CTE Department Chair and faculty, including travel coordination, correspondence, purchasing, scheduling, and special project tracking.
Hire, train, supervise, and evaluate student employees; approve timesheets and assign tasks aligned with college and departmental priorities.
Coordinate onboarding and office support for adjuncts, to include completion of Adjunct Checklists and obtaining CV/resume and official transcripts, and assist with new faculty hiring and onboarding as needed.
Maintain electronic and physical filing systems for departmental records, including syllabi, faculty evaluations, and accreditation materials.
Monitor key operational systems (mail, supplies, copier contracts in coordination with the Dean's office, emergency procedures, calendars), submit and track departmental work orders, and serve as a building contact for facilities-related needs.
Plan and coordinate departmental events, including recruitment activities, professional development sessions, advisory board meetings, student recognition, and community engagement.

CTE Course Scheduling and Program Logistics - 10%
In collaboration with the chair, program coordinators, registrar, and dean's office, create, update, and maintain the CTE departmental course schedule in Banner each term.
Manage room assignments, enrollment caps, course permissions, and delivery mode accuracy for online, on-campus, off-campus, and cohort sections.
Coordinate classroom use, instructional materials, and travel or lodging for instructors to support logistics for off-site cohorts.
Serve as the department liaison to advisory board members, providing logistical support and record-keeping for board meetings and initiatives.

CTE Student Support and Advising - 5%
Provide basic advising services to CTE and CTAC students, including enrollment assistance, registration holds, academic deadlines, and identification of UCM assistance resources.
Serve as a first point of contact for current and prospective students; assess needs and provide accurate referrals or procedural guidance.
Maintain familiarity with program requirements, cohort schedules, and articulation agreements with partner institutions.

CTE Budget and Financial Administration - 15%
Monitor and reconcile all departmental budgets, including general operations, course fees, grants, and foundation accounts.
Prepare and submit requisitions, payment requests, reimbursements, and interdepartmental transactions in compliance with institutional policies.
Provide regular budget updates and financial guidance to the Chair.
Assist with scholarship award processing and grant-related transactions.

Dean's Office Accreditation and Data Coordination Support - 20%
Provide additional support to the Associate Dean and Dean's Office staff in data collection and analytics, and tracking related to college-wide assessment, accreditation, grant reporting, and state/federal compliance.
Gather and organize program data for internal and external reporting needs, including specialized accreditation and licensure preparation.
Assist in building and maintaining shared tracking systems or databases for use by the College and departments for strategic planning and reporting.
Maintain familiarity with performance metrics, reporting deadlines, and documentation standards for accreditation.

Dean's Office Strategic Initiatives and Events Coordination - 30%
Support strategic CoE initiatives such as Teach It Forward, Future Teacher Academy, Rural Schools Initiative, Urban Schools Initiative, the College of Education Paraprofessional Pathway, "Anchor Institution" projects, and College recruitment events.
Assist Dean's Office staff with maintaining and overseeing logistics, including event participant registration and check-in, room reservations, catering coordination, preparation of printed and digital materials, and communication with attendees and campus partners.
Provide additional administrative support to the Dean's Office staff as needed.

Typical Qualifications

Associate degree in Office Administration, Business, or a related field required.
A bachelor's degree is preferred.

Education may be substituted for experience, or experience may be substituted for education. Note that equivalencies are based on the following: AA = 2 years of experience; BA/BS = 4 years of experience.

Three (3) years of administrative support experience assisting a high-level administrator, director, or academic unit required.
One (1) year of experience with budget operations, financial analysis, or accounting required. Two (2) years preferred.
One (1) year of experience supporting academic programs, event coordination, or student advising preferred.
Experience with collaborative or cross-unit projects in a higher education setting is highly desirable.
Experience supporting data collection, tracking, or reporting for accreditation, grant management, or assessment activities preferred.
Experience working in a university environment or with hybrid/off-site program coordination is highly desirable.
Experience with Google Workspace, Slate, Banner, and Brightspace (or equivalent learning management systems) highly preferred.
