Position Title:Health Information Management Coordinator - OP Owensboro Clinic
Location: Owensboro, KY
Description:
The Health Information Management (HIM) Coordinator is responsible for overseeing the collection, maintenance, protection, and appropriate release of client health records in compliance with federal, state, and organizational regulations. This position plays a critical role in ensuring the accuracy, confidentiality, and integrity of health records across all programs within the Community Mental Health Center. The HIM Coordinator works collaboratively with clinical and administrative staff to support quality documentation and reporting processes, and ensures compliance with HIPAA, 42 CFR Part 2, and other applicable privacy standards.
Essential Functions:?
Coordinate and maintain client health records (electronic and paper-based), ensuring accuracy, completeness, and timely documentation
Ensure compliance with federal and state privacy laws, including HIPAA and 42 CFR Part 2
Manage requests for the release of information (ROI), ensuring proper authorization and documentation
Monitor and audit health records for accuracy, completeness, and compliance with documentation standards
Support electronic health record (EHR) system use, including staff training and troubleshooting basic record issues
Work with clinical teams to ensure timely documentation and resolve discrepancies in records
Serve as the primary point of contact for internal and external requests for medical records
Assist with accreditation, licensing, and quality improvement processes through records review and data tracking
Maintain retention and destruction schedules according to state and agency policy
Always ensure security and confidentiality of client health information
Stay updated on changes in health information regulations, policies, and best practices
Collaborate with IT and compliance staff to maintain data integrity and system functionality
Coordinates peer review audits
Follows departmental procedures for maintaining discharged/deceased client’s records as well as preparing inactive records for archiving
Assumes additional responsibilities as needed to support program operations.
Education and Experience:?
High school diploma or equivalent required
Minimum of 2 years of experience in health information management preferred
Knowledge and Skills:?
Strong understanding of HIPAA, 42 CFR Part 2, and medical record-keeping best practices
Proficiency in electronic health records (EHR) systems and Microsoft Office Suite
Excellent attention to detail, organizational skills, and ability to maintain confidentiality
Strong communication skills and the ability to collaborate across multidisciplinary teams
