The Executive Assistant to the President plays a vital role in ensuring the effective operation of the Office of the President and the broader leadership functions of SUNY Maritime College. Reporting directly to the President, this position serves as the primary administrative point of contact, managing a wide range of executive­ level tasks with professionalism, discretion, and efficiency.

The Executive Assistant is responsible for overseeing complex scheduling, managing domestic and international travel logistics, and preparing high-level communications and briefings. The role also includes assisting in the planning and supporting major campus events, coordinating executive meetings, maintaining critical institutional documentation, and assisting in the execution of strategic initiatives and projects.

This position requires exceptional organizational skills, strong communication abilities, and a deep understanding of executive office operations in a higher education setting. As a trusted representative of the President's Office, the Executive Assistant plays a key role in supporting leadership, contributing to decision-making, and managing public-facing responsibilities. Meticulous attention to detail is essential to ensure accuracy and consistency across all tasks, communications, and deliverables.

Duties and Responsibilities:

  • Collaborate closely with the Chief of Staff to ensure the effective management, coordination, and strategic operation of the President's
  • Executive Office, supporting seamless communication, task execution, and alignment with institutional priorities
  • Serve as the primary administrative point of contact for the President, managing the day-to-day activities of the Office of the President with the highest level of confidentiality and professionalism
  • Coordinate the President's dynamic calendar, ensuring optimal prioritization of meetings, travel, and engagements.
  • Arrange and manage complex national and international travel logistics, including briefings, itineraries, accommodations, and communications
  • Draft, edit, and manage high-level correspondence, memoranda, reports, and presentations for internal and external audiences on behalf of the President
  • Ensure seamless execution of administrative operations, including oversight of internal workflows, communications, and document management within the President's Office
  • Assist in the planning, coordination, and support major campus events led by the President's Office, including commencements, special ceremonies, presidential forums, and dignitary visits
  • Prepare detailed agendas, manage meeting logistics, and take minutes for high-level meetings, including Cabinet and President's Council
  • Track and follow up on action items to ensure timely execution of decisions
  • Maintain and update daily and weekly presidential read-ahead materials and briefing binders, ensuring readiness for all engagements
  • Demonstrated experience with Raiser's Edge or similar Customer Management Software
  • Assist with special initiatives and projects originating from the President's Office
  • Monitor institutional deadlines, compliance matters, and executive correspondence to ensure appropriate and timely responses
  • Understanding of and commitment to the mission, values, and public service role of SUNY Maritime College
  • Perform other duties as assigned to support the effective functioning of the Office of the President



Job Requirements:

Required Qualifications:

  • Bachelor's degree
  • 2-3 years proven experience supporting executive-level leadership, preferably in a higher education environment
  • Superior organizational and time management skills with a demonstrated ability to manage multiple priorities simultaneously
  • Excellent written and oral communication skills with a high level of attention to detail and professionalism
  • Strong proficiency in Microsoft Office Suite, Google Workspace, and presentation/communications tools
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and handle sensitive matters with discretion

Preferred Qualifications:

  • Degree and experience in higher education administration
  • Higher education faculty experience
  • Experience with C-Suite Executives


Additional Information:

Classification/Salary Range: The Executive Assistant to the President is a full-time calendar year Management/Confidential unclassified position which serves at the President's pleasure. The anticipated salary range for the position is $75,000.00 to $85,000.00 annually with an outstanding benefits package (for additional information, please see the M/C13-Unclassified-Benefits-at-Glance. Salary will be commensurate with qualifications and experience. Review of applications to commence immediately and conclude when the position is filled.

Special Notes: This is a full-time calendar year appointment. Fair Labor Standard Acts (FLSA) Exempt position, not eligible for the overtime provisions of the FLSA. Internal and external search to occur simultaneously.
