Responsibilities:
The Executive Assistant will serve as a professional office manager assistant, performing accounting operations, record keeping, and budget planning operations. This position will assist in maintenance scheduling, project scheduling and input of project data. The Executive Assistant will perform facility management assistance for the repair, upgrade and expansion of University facilities, while ensuring record keeping complies with complex health, fire, safety and environmental laws, codes, and standards. This position will provide back up data entry for work order repair and maintenance requests for facilities and equipment. The Executive Assistant will supervise internal support staff and student workers and provide limited facility management oversight of contractors. This position will work with direct supervision from the Associate VP for Facilities, and in some cases will act independently. This position will also perform work under direct supervision of the Director of Finance and Administration to support/office management duties, project budget management and maintenance budget management for the Facilities department. Performs these and other duties as assigned by management.
Duties include:
Work with the Director of Administration and Finance for Physical Plant to process and pay bills, pay requisitions, contractor pay applications, etc. Incumbent will also provide accounting assistance and budgeting assistance.
Ensures record keeping for compliance with city, county, state, health, safety, and environmental policies and regulations.
Facilities Support Management (Serves as office manager and supervises support staff and student workers).
Interacts with the Associate VP for Facilities and the Senior Director of Facilities on limited construction projects.
Provides a proactive approach in identifying the needs of campus facilities and grounds.
Qualifications:
A bachelor's degree and one year of administrative support experience is required. In lieu of a degree, an equivalent combination of education and experience will be considered.
Knowledge/Skills/Abilities:
Knowledge of word and data processing programs, preferably Microsoft Office, to prepare reports and other correspondence.
Knowledge of basic accounting.
Excellent verbal and written communication skills to perform requirements of the position.
Strong organizational skills for proficiency in office management and recordkeeping.
Demonstrates attention to detail.
Possesses good customer service, which is essential to job success.
Working knowledge of spreadsheets desired (Excel preferred).
